- Manage and oversee the end-to-end digitization lifecycle, including document tracking, preparation, scanning, indexing, quality control, and export to client systems.
- Ensure all digitization work adheres to client Statements of Work, regulatory requirements, and industry best practices in records and information management.
- Apply records management principles and archival standards to ensure proper handling, classification, and digital preservation of records.
- Ensure accurate metadata capture, indexing structures, and information governance standards are followed during digitization.
- Maintain knowledge of document imaging technologies, scanning hardware, and capture software used in production environments.
- Support continuous improvement initiatives to enhance automation, throughput, and quality in digital imaging workflows.
- Oversee daily operations within the Imaging Centre, ensuring production targets, service levels, and timelines are met.
- Monitor workloads and production metrics, providing daily and weekly operational reporting.
- Troubleshoot operational challenges and modify procedures when required to meet client expectations and project deadlines.
- Maintain scanning and imaging equipment and coordinate service or upgrades when required.
- Assist with billing verification and invoicing processes related to imaging projects.
- Recruit, train, mentor, and develop a high-performing imaging team of 5–25+ staff members.
- Foster a collaborative and positive team environment that promotes accountability, engagement, and quality.
- Serve as a subject matter expert and mentor on imaging workflows, records management principles, and digitization best practices.
- Assist in developing and maintaining training materials, onboarding programs, and operational training calendars for imaging staff.
- Provide hands-on operational support when required, including assisting with document preparation, scanning, and data capture processes.
- Implement and oversee quality assurance programs to ensure all imaging work meets established standards and client requirements.
- Conduct routine QA audits and ensure employees adhere to documented procedures.
- Work closely with the Quality Assurance team to ensure accurate imaging, indexing, and document integrity.
- Ensure secure handling of confidential and government-regulated records.
- Support compliance with security, privacy, and information governance standards.
- Research and resolve client inquiries or operational issues in a timely manner.
- Communicate imaging processes, timelines, and requirements clearly to internal teams and external stakeholders.
- Participate in client meetings and occasional site visits to support project delivery and operational alignment.
- Certified Information Professional (CIP) or Information Governance Professional (IGP) designation preferred
- Coursework or certification in Records Management, Archives Management, or Information Governance
- Post-secondary education in Information Management, Library and Information Science, Computer Science, Information Technology, or related field considered an asset
- 3–5+ years experience in document imaging, digitization, or records management operations
- Experience working with large-scale document conversion or digital transformation projects
- 2–3 years supervisory or team leadership experience preferred
- Strong understanding of digital imaging workflows and high-volume production scanning environments
- Knowledge of metadata standards, indexing structures, and records lifecycle management
- Familiarity with document capture software, document management systems, and quality assurance processes
- Advanced computer proficiency, including strong working knowledge of common productivity software, databases, and file management systems
- Intermediate knowledge of coding or scripting languages (such as SQL, Python, PowerShell, or similar) considered an asset
- Understanding of IT systems, system integrations, and digital workflow automation considered a strong asset
- Ability to work effectively with technical teams to support system configuration, process optimization, and digital workflow improvements
- Experience troubleshooting hardware, software, and scanning equipment issues in a production environment
- Proven ability to lead teams and drive operational productivity
- Strong organizational and analytical skills
- Excellent communication skills for both internal collaboration and client interaction
- Ability to balance hands-on technical work with operational management responsibilities
- Must be able to obtain Level II Secret Security Clearance
- Complying with applicable laws, regulations, and company policies
- Upholding the company’s Code of Ethics and Business Conduct
- Completing required training within established timelines
