
Project Manager Assistant

- Assist Project Manager in the full project lifecycle, from initiation to completion, including receipt of payments.
- Ensure all project documentation (work authorizations, completion certificates, etc.) is accurate and uploaded into internal and external claims systems.
- Maintain consistent communication with all key stakeholders throughout each project
- Track project changes and produce updated schedules.
- Monitor progress of new and ongoing projects, maintaining accurate notes and records.
- Assist in preparation or editing of internal scopes of work, estimates, budgets, letters, memos, faxes, and emails.
- Organize and submit supporting documentation upon project completion.
- Ensure accurate invoicing and support collection of outstanding receivables in line with client protocols.
- Maintain a safe and compliant work environment by conducting hazard assessments, organizing job sites, and ensuring proper use, maintenance, and storage of tools, equipment, and PPE. Promptly report unsafe conditions and participate in safety training and inspections.
- Perform other reasonable duties as assigned.
- High School Diploma/GED.
- 1+ year prior restoration experience, insurance and/or construction coordination
- Proficiency in Microsoft Office Suite and Google Suite.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Ability to work independently or collaboratively.
- Attention to detail and commitment to safeguarding property and information.
- Comprehensive understanding of customer service, principles and practices
- Excellent written and verbal communication skills with a high level of professionalism
- Valid driver’s license with a clean abstract (per BELFOR Auto Policy).
- 1+ years prior office experience.
- Experience in the construction, insurance, or restoration industry.
- Proficiency with Xactimate and/or XactAnalysis
- Due to the nature of our business, this position will work normal business hours but may be required to work in the evenings, on-call, or outside normal working hours;
- Perform tasks requiring mobility in tight or confined spaces, sustained physical activity (standing, lifting, walking, bending, kneeling), and working at heights over 5 feet as needed;
- Manual dexterity for keyboarding, repetitive tasks, and prolonged periods of computer use, demanding attention to detail and high levels of accuracy;
