
Facilities Administrative Assistant

- Answer, forward, and screen phone calls, assisting clients in finding their way around the office and announcing clients as necessary.
- Manage mail room operations, including incoming/outgoing mail and overnight shipping (FedEx, UPS), sorting and delivering mail and packages, and coordinating interoffice mail to other Epicor offices.
- Help maintain workplace security by issuing, checking, and collecting badges as necessary, and maintaining visitor logs.
- Organize conference and meeting room bookings, coordinate meeting and conference schedules, and serve as the key point of contact for corporate staff and client inquiries.
- Prepare, review, and track invoices and expense reports, and purchase and maintain supplies and materials.
- Order office supplies, monitor and stock office and lunch area supplies, and ensure coffee equipment is properly maintained.
- Monitor copiers throughout the space, changing toner and troubleshooting any issues, and placing service calls when necessary.
- 2+ years of applicable facilities assistant experience.
- High school diploma required.
- Ability to multi-task, with strong computer knowledge including Excel and Word.
- Customer service-oriented and pleasant demeanor, with excellent communication skills and a positive, team-oriented attitude.
- Experience with mail equipment, sorters, and copiers, with familiarity with room/desk booking software and a basic understanding of building systems being a plus.
