
Project Manager and JobTread Super-User

- Configure and maintain JobTread workflows, templates, and internal reporting structures
- Build and manage project schedules, task tracking, change orders, daily logs, time entries, document uploads, and vendor/client communications
- Support all team members—office and field—in adopting and consistently using JobTread to streamline operations
- Deliver onboarding and ongoing support to ensure confident, consistent use of the platform
- Prepare detailed estimates that include clear scope of work, rates, material breakdowns, inclusions, and exclusions
- Reconcile estimated vs. actual field performance by validating daily slips, trucking tickets, work logs, final quantities, tonnage installed, time and materials vs fixed fee draws, delivery charges, and site delays or extra work with supporting documentation
- Ensure all field financial data is captured accurately in JobTread to support timely AR/AP processing
- Work closely with the Controller to ensure smooth information flow from field to finance
- Track and manage project data to support communication, accountability, and financial integrity, including:
- 1. Project Information (estimate number, date, GST #, client info, site location)
- 2. Work Scope (equipment, responsibilities, inclusions/exclusions)
- 3. Quantities & Pricing (estimated vs. actual, rate/unit, totals)
- 4. Field Documentation (truck slips, daily logs, site sign-offs, deviation records)
- 5. Progress & Verification (completion status, inspections, % complete)
- 6. Internal Notes (change order rationale, observations, client discussions)
- Coordinate with dispatch and operations to align field schedules with project priorities
- Provide clear, documented instructions to crews to avoid rework or delays
- Act as the bridge between field operations and office administration to resolve issues quickly
- Collaborate with the Controller to create JobTread reports and dashboards for job costs, progress, and performance
- Provide real-time visibility for operations, finance, procurement, and leadership
- Analyze trends to identify risks, delays, or inefficiencies and recommend improvements
- Develop lean systems and process enhancements to support growth
- Support a team culture that attracts and retains high performers

- Highly analytical and confident working with numbers and cost data
- Detail-oriented and skilled at validating data across multiple sources
- Tech-savvy with experience using JobTread, Procore, or similar tools
- An effective communicator, supporting both field and office teams
