- Assist the Executives with their daily activities as required;
- Act as a brand ambassador for the WSP brand and demonstrate WSP guiding principles;
- Coordinate on executive projects and support client management activities;
- Coordinate and manage calendars across multiple time-zones, for internal and external meetings and conference calls, including room arrangements, catering, audio-visual;
- Arrange and coordinate Leadership and face-to-face meetings;
- Arrange travel and accommodation through our corporate travel provider;
- Organize and submit corporate credit card and personal expenses;
- Coordinate national communications and distribute accordingly;
- Participate in leadership team meetings, develop minutes and support as required;
- Maintain meeting minutes and distribute accordingly;
- Organize social functions as required;
- Provide backup support to other Executive Assistants, if required;
- Work with Legal to ensure all documents requiring signature are done in a timely manner;
- Occasional overtime and travel required;
- Other duties as assigned/required.
- Post-secondary diploma in business administration or a related discipline is preferable;
- 10+ years of professional experience in a similarly sized organization (10,000+ employees); Professional Services sector experience is an asset;
- 5+ years of experience directly supporting corporate executives;
- Ability to multitask, prioritize and effectively meet deadlines;
- Consistently high-quality, accurate work, with attention to detail;
- Mature judgement and discretion in handling confidential and sensitive information and situations;
- Strong organizational skills, ability to work with minimal supervision, self-starter and resourceful;
- Advanced proficiency in Microsoft 365 ecosystem including SharePoint; Oracle ERP proficiency is an asset;
- Fluency in English is required; fluency in French is an asset.
