- Process vendor invoices, ensuring proper coding, approval, and entry into the accounting system
- Verify invoice details, including pricing, quantities, and payment terms
- Reconcile vendor statements and investigate discrepancies or billing issues
- Prepare and execute weekly payment runs (cheques, EFT, ACH)
- Maintain accurate and up-to-date vendor records and files
- Support month-end and year-end closing activities
- Respond to vendor inquiries and foster positive working relationships
- Ensure compliance with company policies and accounting standards
- Perform additional accounting and administrative duties as required
- Calculate, prepare and issue documents related to accounts such as bills, invoices, inventory reports
- Provide backup support for reception as needed
- Order and manage office supplies, including postage
- Coordinate annual archiving and disposal of outdated accounting records
- Manage and reconcile petty cash
- Provide general administrative and office support
- Strong attention to detail and high level of accuracy
- Excellent communication and interpersonal skills
- Ability to handle confidential information with discretion
- Strong organizational and time management abilities
- Proven ability to meet tight deadlines in a fast-paced environment
- Advanced proficiency in Microsoft Office, particularly Excel
- Solid understanding of financial processes, including accounts payable/receivable, purchase orders, invoices, and bank reconciliations
- Experience with accounting and accounts payable software
- High school diploma or equivalent required
- Post-secondary education in accounting, finance, or a related field is an asset
- 2–3 years of experience in accounts payable or general accounting
- Experience with three-way matching (purchase order, receiving, invoice)
- Knowledge of sales tax regulations
- Experience working in a multi-entity or multi-location environment
- Understanding of basic accounting principles (GAAP)
- Office-based role in a structured indoor environment
- Fast-paced setting with regular deadlines
- Moderate stress level due to time-sensitive tasks
- Monday to Friday – 8:00 am – 4:40 pm (in-office)
