This position offers a dynamic environment in wealth management support, providing valuable administrative assistance to a busy branch team, with opportunities for growth and development within the organization.Pay rate range (CAD): $17.60/hr - $21.80/hrResponsibilities
  • Deliver high-quality, professional administrative support to the branch team and management
  • Support daily operations, including coordination of equipment, system access, and IT support
  • Manage communication of operational, regulatory, and compliance activities to ensure adherence
  • Assist in maintaining and improving branch filing systems and documentation processes
  • Handle office duties such as greeting clients, managing mail, courier services, and faxes
  • Support business meetings by setting up venues, catering, and managing scheduling
  • Respond promptly to client inquiries and visitor requests, demonstrating excellent customer service
  • Coordinate premise and facility issues, including building maintenance and seasonal displays
  • Support team initiatives aligned with the organization's vision to deliver exceptional service
  • Assist with business continuity planning and communicate updates to staff
  • Provide support for client requests and other sundry duties as assigned
Additional Reception and Client Support Responsibilities
  • Greet clients and visitors, responding efficiently and courteously
  • Support incoming calls, direct inquiries, and assist with client requests
  • Manage branch directories, outgoing/incoming mail, courier, and transit mail following internal protocols
  • Contribute to the setup and logistics for meetings, including setup, catering, and room scheduling
Desired Skill-Set
  • Post-secondary education (undergraduate degree or community college diploma in Business preferred)
  • 1-2 years of administrative experience
  • Strong proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook)
  • Excellent communication and customer service skills
  • Highly organized, detail-oriented, and able to prioritize multiple tasks
  • Tech-savvy with a quick learning ability for new software and tools
  • Ability to work independently and collaboratively in a fast-paced environment
  • Resourceful problem solver with initiative and professionalism
Nice to Have
  • Industry-related courses or certifications in progress or completed
  • Previous experience supporting high-net-worth clients (an asset)
  • Banking or financial services experience (not required)
