Transdev Canada is actively seeking a highly organized and motivated individual to join our team as an Executive Assistant for the Hazel McCallion Light Rail Transit Project. The Executive Assistant will provide administrative support to multiple departments and will be responsible for a variety of tasks, including scheduling, meeting minutes, recordkeeping, preparation of presentations, and correspondence. The ideal candidate will have excellent communication and organizational skills, as well as the ability to multitask and prioritize effectively.Your role
  • Provide executive assistance to the Senior Vice President of Rail
  • Draft and compose professional correspondence, reports, presentations, and meeting minutes
  • Participate in internal and external meetings
  • Plan and coordinate special events, projects, and corporate activities
  • Prepare and submit reports (weekly, monthly, quarterly, and ad hoc)
  • Maintain inventory of office supplies and manage vendor relationships for office equipment and services
  • Monitor and follow up on contracts related to advertising, services, maintenance, and rentals
  • Handle confidential and sensitive information with discretion and professionalism
  • Prepare and edit documents, including presentations, reports, and spreadsheets
  • Assist in the preparation of board meetings, including agenda development and material compilation
  • Coordinate and manage travel arrangements and itineraries
  • Perform other related duties as assigned

Your profile
  • You possess a bachelor’s degree in business administration, Communications, or a related field
  • You have a minimum of 2 years of experience in an assistant or similar role
  • You possess exceptional verbal and written communication skills
  • You have strong organizational and project management skills
  • You possess advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
  • You have the proven ability to handle sensitive and confidential information with discretion and professionalism
  • You have a strong attention to detail and ability to multitask in a fast-paced, high-pressure environment
  • You have a proven ability to work independently and take initiative
  • You possess strong record-keeping and documentation skills
  • You are proficient in time management, able to prioritize and meet deadlines
  • You use professionalism, tact, and diplomacy in dealing with senior executives and external contacts
Work Experience Qualifications
  • Must be legally entitled to work in Canada
  • Excellent organizational, communication and interpersonal skills
  • Proven ability to work independently and manage multiple projects
  • Excellent time-management, planning, conceptual and consultative skills
  • Excellent written and verbal communication skills in English
