- Manage maintenance contract renewals by reviewing, calculating, and issuing renewal invoices at least 90 days prior to expiry, while coordinating with the Sales team to address customer inquiries.
- Work with the Sales team to generate accurate pricing, quotations, and responses to customer product or licensing questions.
- Oversee sales order processing by verifying purchase orders, issuing license keys, and updating product databases with license and maintenance information.
- Maintain and update the product database to reflect changes such as new products, system migrations, or license adjustments, ensuring proper documentation and accurate status updates.
- Create, review, and revise software license agreements, supplements, and addendums in collaboration with executive management.
- Ensure customer contracts and agreements are thoroughly evaluated, highlighting acceptable and unacceptable terms, and providing recommendations to executive management.
- Support the invoicing process by ensuring accurate preparation of sales and maintenance invoices and coordinating with the finance team for proper posting.
- Keep detailed records of all contracts, renewals, and invoices, ensuring proper documentation and accessibility for team members.
- Assist with compliance and regulatory requirements by reviewing contracts and maintaining adherence to company standards.
- Minimum of 5 years of experience in contracts administration or a related field.
- Demonstrated expertise in CRM, ERP, and data processing systems.
- Strong understanding of compliance, regulatory documents, and contract review processes.
- Proficiency in preparing quotations, processing purchase orders, and managing maintenance contracts.
- Proven ability to handle order entry tasks and update product databases with accuracy.
- Experience working with software license agreements and supporting sales operations.
- Excellent organizational and communication skills for collaboration with cross-functional teams.
- Attention to detail and the ability to manage multiple tasks effectively.
