Reporting to the Executive Director and Senior Legal Counsel, the incumbent coordinates various panels that function under the Policy on the Establishment of Tribunal Hearing Pools and serve as Secretary to hearing panels (AHP, Appeals, GAAT, Re-Evaluation, CORR). They provide assistance to Office of the General Counsel on departmental operations, projects, administrative and legal files as needed.PRIMARY RESPONSIBILITIES
- Coordinate the administration of the Office of Student Tribunals.
- Act as a resource person for all who participate in the different levels of the tribunal process (i.e. interpretation of various codes, clarifying procedures and policies, respond to general inquiries).
- Serve as Secretary to all tribunal hearings.
- Keep the Executive Director and Senior Legal Counsel well informed on a regular basis on issues of concern relating to the daily operations of Student Tribunals.
- Assist in planning future goals for the Office of Student Tribunals (i.e.: shared database, reporting methods).
- Assist in the review of codes and relevant policies.
- Maintain up-to-date OST chart and provide the General Counsel with reporting data as needed.
- Organize, maintain and update all tribunals' documentation in the SharePoint database and other.
- Initiate, develop, implement and maintain a cross-faculties shared database to facilitate the dissemination of information.
- Provide assistance to the Office of General Counsel on departmental operations, projects, administrative and legal files as needed.
- Prepare documentation relating to all training sessions and provide training to all panelists and parties as required by the General Counsel.
- Develop materials to facilitate communication with all tribunals' internal and external bodies.
- Ensure that all committees have their full membership by following up with the relevant nominating body.
- Perform other duties in support of the department.
- Undertake other tasks as required by the Executive Director and Senior Legal Counsel.
- Bachelor's degree in Social Sciences or in a field related to the primary responsibilities and one to two years of experience, preferably in a university environment and in dealing with university codes and regulations.
- Very good knowledge (Level 5) of spoken and written English, in order to efficiently synthesize and summarize large quantities of information, and good knowledge (Level 4) of spoken and written French.
- Experience in handling confidential information and situations with a wide variety of individuals with differing cultural backgrounds, political views and status within the University.
- Good knowledge (Intermediate level) of Word, Excel and PowerPoint.
- Superior communication, organization and interpersonal skills; resourcefulness, sound judgment, problem solving skills, initiative and ability to multitask.
