As our Senior Administrative Assistant, you will provide administrative support to our team and ensure our guests have the Experience of a Lifetime.Job Specifications:
- Starting Wage: $21.53/hr - $27.59/hr
- Employment Type: Year Round
- Shift Type: Full Time hours available
- Minimum Age: At least 18 years of age

- To provide direct administrative support to the Guest Services Managers, as well as assistance to the Guest Services assistant manager team.

- Develop rapport and engage with our PSS team in our guiding mission statement of creating the Experience of a Lifetime for our employees, so they can, in turn, provide an exceptional experience for our guests.
- Assist in budget preparation and Capital planning; including sourcing out costs, formulating spreadsheets and formatting narratives and drafting reviews
- Assist with organizing staff functions based on Fiscal year budget
- Purchasing of office and operating supplies for the department.
- Assist with coordinating completion of any capital project items
- Provide assistance with special events and projects; including creating spreadsheets, and PowerPoint presentations
- Assist Managers and Supervisors in attaining objective targets and action item completion
- Prepare miscellaneous correspondence, reports and statistical data as required
- Respond to guest inquiries or issues directed to the Guest Service dept by phone, correspondence or e-mail.
- Assist with Line control duties as required both within the offices and at the valley lifts
- Fulfil resolutions to guest issues relating to replacement, dry cleaning or other guest appeasement requirements.
- Plan, organize, and coordinate the decorations/festive additions to add to guest experience in the Guest Service locations
- Participate in weekly Guest Service Leadership meetings and take minutes
- Attend, record and issue minutes from meetings
- Provide support for Guest Service (Guest Services, Ticket Sales and Snow School Sales) Supervisor team and frontline staff (includes working frontline shifts/covering breaks as needed)
- Assist managers with their expenses
- Maintain current results for employee surveys
- Maintain a centralized file system for guest service policies, procedures and tracking etc that are common to all Guest Service operations and locations.
- Assist with maintaining the Guest Services Privacy requirements in accordance to WB privacy act policies & procedures.
- Follow up on all outstanding action items established from weekly/monthly and planning meetings
- Provide assistance with the organization of Guest Services meetings, parties and events
- Maintain office filing systems and provide accurate record keeping
- Coordinate the lost and found by arranging shipments for guests, keeping the area tidy and organized
- Clearing outstanding invoices relating to orders
- Setting up manager’s meetings, 1 on 1’s for Managers and taking minutes.
- Monitoring payroll and entering sick time/vacation time for salaried and hourly staff
- Conduct the RFID monthly media inventory count and ordering.
- Perform other duties as required or assigned by the Assistant Manager.

- Ability to type 60 wpm with accuracy
- Accurate, good attention to detail
- Ability to handle a heavy workload
- Previous supervisory experience an asset
- BC Drivers License and Drivers Abstract mandatory
- Knowledge of Whistler Blackcomb Mountains and the Guest Service Dept. operations an asset
- Required to complete a satisfactory criminal record check
