- Maintains and updates critical files, including project plans, meeting minutes, contracts, and progress reports.
- Monitors project timelines and deadlines, individual task completion, highlighting any risks or dependencies that might cause delays.
- Acts as the primary point of contact, facilitating clear information flow between departments, clients, and vendors.
- Schedules and facilitates meetings, prepares agendas, and ensures action items are followed up on.
- Assists with budget monitoring, tracking expenditures, processing invoices, and ensuring the team has necessary supplies.
- Exceptional ability to prioritize a high workload and manage multiple overlapping deadlines.
- Strong verbal and written skills for reporting progress and negotiating with vendors.
- Identifying challenges early and developing practical solutions to prevent project stalls.
- Mastery of project management tools like Microsoft Project, Asana, Trello, or Jira, as well as the MS Office Suite.
- A bachelor's degree in business administration, project management, or a field related to the f&b industry is standard.
- 1 to 3 years of experience in administrative support or junior project coordination.
- Able to work effectively and safely while subject to wet floors, temperature extremes and excessive noise; must be able to lift up to 50 pounds in weight; must be able to maneuver in an often tightly-quartered environment.
- Hours may be extended or irregular to include nights, weekends and holidays.
