As our Administrative Assistant, you provide vital support to the Project Management and Commercial senior leadership team, reporting directly to the Director of Operations. You maintain a high level of professionalism and confidentiality while communicating effectively with stakeholders at all levels, both internal and external. - Prioritize and schedule internal, customer, and quarterly business meetings (cost reviews, forecasts, P&L).
- Compile and distribute financial cost review packages.
- Prepare expense reports and p-card statements for approval.
- Arrange domestic and international travel, including large group travel for outages.
- Oversee accurate salary timesheet entry, make corrections, and coordinate with Payroll on adjustments.
- Maintain weekly reports, outstanding vacation reports, and end-of-year carryover reports.
- Track and schedule Quality Assurance training, update training matrices, and ensure compliance.
- Prepare, distribute, and track contract information sheets, CAR reports, and project documentation.
- Coordinate catering, approve and code invoices, and support customer meetings.
- Serve as Fire Marshall for Field Services and maintain Fire Marshall list.
- Monitor and order office supplies for both office and project site needs.
- Avoid duplication, ensure cost-effectiveness, and apply accurate project charging.
- Post updated forms and information to the Nuclear Services portal/SharePoint.
- Approve purchase requisitions and orders on behalf of managers.
- Prepare correspondence, agendas, minutes, org charts, reports, and presentations.
- Print and distribute documents as needed.
- Resolve basic IT/equipment issues and manage incoming mail.
- Book meeting rooms, manage calls, and direct visitors, suppliers, and customers appropriately.
- Create and issue monthly man-hour tracking reports.
- Monitor documentation to ensure confidentiality and proper identification.
- Research availability and costs for unique or non-traditional purchases.
- Understanding of conflict resolution and problem-solving skills.
- In-depth knowledge of business office processes and practices acquired through a minimum of three years’ experience in a senior administrative support role.
- Excellent computer skills – Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience with SAP would be an asset.
- Outstanding and professional interpersonal, verbal and written communication skills with the ability to work effectively as part of a team or independently.
- Has sharp attention to detail with the ability to anticipate problems to prevent delays and ensure success (i.e. scheduling conflicts, meeting attendees out of the office, etc.).
- Practices good judgment, discretion, and confidentiality of sensitive information regarding department activities.
- Superior problem solving, time management and organizational skills with a commitment to process improvement.
