Accounts Payable / Administrative AssistantOur client is seeking an Accounts Payable / Administrative Assistant to support day‑to‑day accounting and office operations within a growing, multi‑entity organization. This role is responsible for managing accounts payable processes while also providing general administrative and office support. The ideal candidate will bring prior accounts payable experience, strong organizational skills, and a dependable, proactive approach.Your success will be defined by your ability to:
  • Process, code, and track invoices, expense reports, and payment requests accurately
  • Ensure invoices include proper documentation and required approvals before posting
  • Prepare and execute timely payment runs, including cheque and electronic payments
  • Record payable batches and related journal entries accurately and on schedule
  • Respond to vendor inquiries and assist with resolving payment discrepancies
  • Work confidently within accounts payable software and coordinate with IT support when needed
  • Provide daily administrative support, including correspondence, scheduling, and office coordination
  • Manage office and break‑room supplies, equipment, and vendor relationships
  • Maintain organized digital and physical filing systems and company records
  • Provide backup support to the Executive Assistant as required
  • Assist with onboarding and orientation of new employees
  • Support special projects and additional administrative tasks as needed
Your strengths include:
  • Post‑secondary education in administration, accounting, data management, or a related field
  • 2-3 years of experience in accounts payable or a comparable accounting support role
  • Proficiency with Microsoft Office, particularly Excel and Outlook; familiarity with modern tools is an asset
  • Experience with accounting software such as Great Plains, QuickBooks, or similar systems
  • Strong attention to detail and commitment to accuracy
  • Excellent organizational and time‑management skills with the ability to prioritize effectively
  • Strong written and verbal communication skills
  • Ability to work both independently and as part of a collaborative team
  • A professional, reliable, and proactive mindset with a positive approach to work
