Through the development and delivery of programs, events and strategic initiatives, this role creates meaningful opportunities for graduates to stay engaged, connected and invested in the Polytechnic.As part of the External Engagement team, the Coordinator collaborates across the institution and with external partners to design impactful programming, lead communications and build mutually beneficial partnerships and affinity programs. This role contributes directly to enhancing alumni affinity, supporting institutional priorities and fostering a strong, connected alumni community.
Position DetailsKey Responsibilities
  • Develop and deliver a comprehensive alumni engagement program, including events, initiatives and partnerships that strengthen relationships and support institutional priorities
  • Build and maintain meaningful relationships with alumni, internal departments, industry partners and community stakeholders to increase engagement and participation
  • Lead the planning and execution of key alumni initiatives and events, including Honouring Excellence and other institutional programs, from concept through evaluation
  • Plan and deliver strategic alumni communications across email, social media and print, including newsletters, campaigns and promotional content
  • Lead the growth and evolution of alumni social media channels, developing and executing content strategies that increase engagement, expand reach and strengthen alumni connection to the Polytechnic
  • Manage day-to-day social media activity, including content creation, scheduling, community management and paid campaigns, in collaboration with Marketing and Communications
  • Ensure all communications align with institutional brand standards and comply with CASL requirements
  • Maintain and enhance alumni records within the Salesforce CRM, ensuring data accuracy, integrity and appropriate use in alignment with FOIP and institutional policies
  • Support reporting, segmentation and targeted communications, and provide guidance to internal teams on alumni data practices
  • Support and grow affinity partnerships and programs, working with external partners to deliver campaigns, track performance and generate revenue to support alumni engagement initiatives
  • Identify and support sponsorship opportunities that enhance programming and create mutual value for partners and the Polytechnic
  • Coordinate and support the Alumni Advisory Council, including recruitment, onboarding, meeting facilitation and succession planning
  • Develop and implement opportunities that connect students and alumni through networking, mentorship and career-related programming, and promote alumni benefits to graduating students
  • Collaborate across the Polytechnic with departments including Marketing and Communications, Student Affairs, Registrar's Office and Academic areas to support integrated engagement efforts
  • Contribute to planning, reporting and continuous improvement of alumni engagement strategies, while responding to inquiries and supporting day-to-day operations

Required Qualifications
  • Diploma in Business, Communications, Marketing or a related field, with 3-5 years of relevant experience.
  • Demonstrated ability to build and sustain strong relationships with a wide range of stakeholders, including alumni, partners and internal teams
  • Excellent written and verbal communication skills, with the ability to create engaging content across multiple platforms
  • Strong organizational and project management skills, with the ability to manage multiple priorities and deliver high-quality work
  • High level of professionalism, discretion and ethical standards when handling confidential information
Preferred Qualifications
  • Experience working with Salesforce or a similar CRM system
  • Proficiency in Microsoft Office Suite, Canva and familiarity with Adobe Creative tools
  • Experience managing or growing social media channels, including content planning and performance tracking
  • Valid driver's licence and ability to travel as required
Salary AUPE Class Level 11 Step 1 $56,861.97 per annum
