Receptionist & Executive Assistant Job ProfileJob Profile: Receptionist & Executive AssistantRole OverviewThe Receptionist & Executive Assistant plays a critical role in supporting the daily operations and leadership of theorganization. This position serves as the first point of contact for clients, partners, and visitors, while alsoproviding high-level administrative and organizational support to the President and Controller. In a small-business environment, this role requires professionalism, adaptability, and a strong ability to manage competingpriorities with discretion and sound judgment.Key ResponsibilitiesReception & Front-Office Support
  • Serve as the primary point of contact for incoming calls, emails, visitors, and deliveries
  • Ensure a professional, welcoming, and organized front-office environment
  • Manage general inquiries and route communication appropriately
  • Support scheduling, meeting logistics, and office coordination as required
Executive Support – President & Controller
  • Provide direct administrative support to the President and Controller, including:
oCalendar management and meeting coordinationoPreparation of documents, reports, and presentation materialsoCoordination of internal and external meetingsoHandling confidential and sensitive information with discretion
  • Anticipate administrative needs and proactively support leadership priorities
  • Assist with follow-up, task tracking, and ensuring key items are actioned
Organizational & Team Support
  • Provide incidental administrative and organizational support to other team members as needed
  • Assist with internal communications, coordination, and documentation
  • Support onboarding logistics, internal meetings, and company initiatives
  • Help maintain organized systems for files, records, and correspondence
RequirementsOffice Administration
  • Support day-to-day office operations, including supplies, vendors, and facilities coordination
  • Maintain organized digital and physical filing systems
  • Assist with basic administrative tasks related to finance or operations, as directed by the Controller
