- Provide high-level administrative and strategic support to the General Manager and senior leadership, acting as a central coordination point for executive operations.
- Manage complex calendars, schedule internal/external meetings, and coordinate logistics across departments and external stakeholders.
- Draft and prepare reports, presentations, memos, and correspondence with accuracy and professionalism.
- Support internal communications including meeting agendas, staff notices, town hall materials, and follow-up documentation.
- Track timelines, action items, and deliverables across key projects and initiatives; proactively follow up to ensure accountability.
- Act as a liaison between the executive office and internal departments, promoters, partners, and key stakeholders.
- Plan and execute logistics for executive meetings, VIP visits, and partner engagements, including catering, AV, scheduling, and materials.
- Arrange travel for executives and visiting staff; prepare and reconcile expense reports in accordance with company policy.
- Maintain organized digital and physical filing systems, ensuring confidentiality and efficiency.
- Support contract tracking and invoice processing in collaboration with Finance and Legal.
- Assist in organizing staff culture initiatives, recognition efforts, and internal events.
- Identify and implement opportunities to streamline administrative processes, tools, and workflows.
- Provide coverage and backup support for other administrative team members to ensure business continuity.
- 5-7+years of progressive experience in an administrative, executive assistant, or office management role.
- Proven experience supporting senior executives in a fast-paced, high-volume environment.
- Background in entertainment, live events, hospitality, or sports is considered an asset.
- Exceptional organizational, multitasking, and time management skills.
- Excellent written and verbal communication with strong attention to detail.
- Discreet, professional, and trustworthy with the ability to handle confidential information.
- Technologically savvy: proficient in Microsoft Office Suite
- Proactive, solution-oriented, and collaborative mindset.
- Willingness to work flexible hours including evenings and weekends during major events or peak periods.
