Undergraduate Medical Education Program Administrator, SurgeryPrimary Purpose: To provide administrative/clerical support in the planning, development, coordination, implementation, evaluation, and administration of the undergraduate education program in the Department of Surgery, Division of Orthopedic Surgery.Nature of Work: Reporting to the Manager and accountable to the Director of Undergraduate Surgical Education, this position interacts with a diverse group of individuals including faculty, trainees, and staff at all sites of training. It is expected that the incumbent will have excellent interpersonal skills, attention to detail in maintaining records and correspondence. Work is performed with general supervision in a fast-paced environment, subject to multiple, conflicting deadlines and priorities, with frequent interruptions. The position is of moderate complexity. The individual must exercise discretionary decision-making and work independently and as part of a team. The high traffic area is shared with other administrative staff. At times, this position requires flexibility to work outside of normal working hours.Typical Duties: Responsible for the day-to-day administrative support to the Director and the administration of the undergraduate program. Collate and post all student learning materials, schedules, and assessments to the course management software (e.g. One45) in a timely fashion. Prepare and update learning and assessment materials for students as well as faculty development materials for educators. Communicate with students and faculty members regarding the scheduling and coordination of learning encounters, assignments, and assessments. Book the necessary space, equipment, etc. to meet the needs of the teaching session or meeting and arrange and participate in orientation sessions. Assist with the creation and updating of a program evaluation plan and assist with the program budget. Compile reports and correspondence, prepare agendas, minutes and track action items for meetings, as necessary. As well, develop and generate documents (accreditation, etc.) and participate in the accreditation process, as required. Ensure all work is compliant with University and College policies and procedures, applicable regulations and accreditation standards. Training of peers may also be required at times.Qualifications
Education: Completion of Grade 12 and a recognized post-secondary business/administrative program.Experience: Three to five years of related experience in a University Health Care environment in an administrative role. Experience working and collaborating in diverse and inclusive settings is required. Previous experience with One45 software is an asset.Skills: Ability to work independently and collaboratively in a confidential team environment with a demonstrated commitment to undergraduate education. Coordinating and undertaking multiple projects with competing demands and deadlines while maintaining a high degree of efficiency and accuracy. Exceptional interpersonal and communication skills - both written and verbal are essential. The candidate needs to be enthusiastic, self-motivated, and assist other team members and miscellaneous projects when necessary. The candidate has a proven track record and mindset of continuous improvement working to always improve current processes resulting in the improved delivery of administration. Exceptional organizational, problem-solving and decision making skills. Intermediate abilities of office software including Microsoft office, Excel, Outlook, One45, and other University and Health Region software.Department: Surgery
