We are looking for a Project Coordinator to join a well-established mechanical services organization in Richmond, BC.About the Opportunity:In this role, you will be responsible for coordinating installation projects from initial request through to completion and billing. You will support estimators and field teams, manage scheduling and documentation, and ensure all aspects of each project are properly planned, tracked, and executed.You'll play a central role in keeping projects on track-balancing customer communication, scheduling, procurement, permitting, and administrative coordination in a highly collaborative environment.What We Offer:

- Manage incoming installation project quote requests and assign to appropriate team members
- Review bidding documents, drawings, and scopes of work for new opportunities
- Support estimators and managers in preparing quotes and proposals
- Coordinate full project lifecycle from intake through to completion and billing
- Plan, schedule, and manage field technician work calendars
- Schedule site visits with customers when required
- Coordinate subcontractors, suppliers, and equipment rentals
- Order materials and equipment for upcoming projects
- Assist in gathering supplier pricing and supporting project estimating efforts
- Provide required documentation to customers (insurance certificates, WCB clearance letters, etc.)
- Track, reconcile, and update labour, materials, and equipment entries in internal systems
- Support warranty registrations and coordinate service follow-ups or recalls
- Provide ongoing project updates to customers and internal stakeholders
- Liaise with property managers, building operators, and technicians to resolve project issues
- Support general administrative and operational tasks as required
- Administrative and/or customer service experience in a service-based environment
- Experience in mechanical trades, construction, or service operations is an asset (not required)
- Previous project coordination or project management experience is an advantage
- Excellent written and verbal English communication skills
- Strong organizational skills with high attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with CRM or service management systems is an asset
- Strong problem-solving skills with a professional, customer-focused approach
- Ability to collaborate effectively with field technicians and internal teams
- Demonstrated initiative and interest in process improvement
- Location: Richmond, BC (fully on-site, Monday-Friday)
