Our client, a dynamic and rapidly growing organization based in downtown Calgary, is seeking a highly organized and professional Office Assistant to join their collaborative team.   • Greet all visitors and callers in a friendly, professional manner, ensuring adherence to sign-in and security procedures
  • Operate the switchboard and direct incoming calls appropriately
  • Manage incoming and outgoing mail and courier packages, including preparing documentation
  • Book and coordinate meeting rooms, ensuring accuracy with participants, scheduling, and IT needs
  • Maintain a clean and welcoming reception, meeting rooms, and mailroom areas
  • Arrange breakfasts and lunches for meetings as required
  • Distribute electronic faxes and incoming emails to the appropriate departments
  • Order and organize office supplies, ensuring inventory is well-managed
  • Assist with filing and administrative tasks for HR/Payroll and Archiving teams
  • Provide support to other departments with light administrative duties as needed
  • Maintain office plants and ensure a tidy, functional office environment
  • Liaise with building management and service providers on maintenance and office services
  • Support senior leadership with travel arrangements and expense reporting
Qualifications:
  • High School Diploma required; preference given to candidates with a Certificate or Diploma in Office Administration
  • 2–4 years of relevant experience in an administrative or office support role
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Strong written and verbal communication skills; French language skills are an asset
  • Previous experience in the insurance or medical field is considered an asset
