Greet all visitors and callers in a friendly, professional manner, ensuring adherence to sign-in and security procedures
Operate the switchboard and direct incoming calls appropriately
Manage incoming and outgoing mail and courier packages, including preparing documentation
Book and coordinate meeting rooms, ensuring accuracy with participants, scheduling, and IT needs
Maintain a clean and welcoming reception, meeting rooms, and mailroom areas
Arrange breakfasts and lunches for meetings as required
Distribute electronic faxes and incoming emails to the appropriate departments
Order and organize office supplies, ensuring inventory is well-managed
Assist with filing and administrative tasks for HR/Payroll and Archiving teams
Provide support to other departments with light administrative duties as needed
Maintain office plants and ensure a tidy, functional office environment
Liaise with building management and service providers on maintenance and office services
Support senior leadership with travel arrangements and expense reporting
Qualifications:
High School Diploma required; preference given to candidates with a Certificate or Diploma in Office Administration
2–4 years of relevant experience in an administrative or office support role
Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
Strong written and verbal communication skills; French language skills are an asset
Previous experience in the insurance or medical field is considered an asset
