ABOUT THE POSITION
Under the supervision of the Executive Producer, the Production Project Manager is responsible for the planning, oversight, and management of specific ad hoc projects within PHI Studio.
This role involves planning, coordinating, supervising, and managing the various stages of production, and ensuring the smooth flow of information between all stakeholders. The Production Project Manager is a key point of contact within the teams. They have a firm grasp of every element related to the productions they are responsible for and demonstrate strong attention to detail and rigor.
RESPONSIBILITIES
  • Establish project timelines and phases;
  • Ensure that all project stages are completed in the correct order and on schedule;
  • Organize project-related meetings, invite necessary participants, prepare agendas, and draft meeting minutes;
  • Support project scoping and contribute to budget tracking and updates;
  • Follow up with each team and supplier to ensure budgets, schedules, and project parameters are respected;
  • Identify, research, and contact suppliers, and follow up on deliverables and contracts;
  • Act as a liaison between teams and stakeholders, ensuring smooth communication and information flow;
  • Manage the projects through the different phases of production;
  • Identify the needs and resources required for project completion;
  • Process all invoices related to the project and ensure proper coding;
  • Develop production schedules and ensure adherence;
  • Coordinate travel arrangements for setup and teardown teams;
  • Manage corporate credit cards;
REQUIRED QUALIFICATIONS
Minimum Academic Requirements: Bachelor's degree in a relevant field
Minimum Years of Experience: 3 to 5 years of experience as a project manager in the multimedia environment field (event-based and/or permanent installations), or another relevant discipline.SKILLS AND COMPETENCIES
  • Excellent written and spoken communication in French and English (required for international collaborations);
  • Strong project management skills;
  • Detail-oriented and conscientious;
  • Strong interpersonal skills and public-facing communication;
  • Agile, organized, and flexible in responding to evolving needs;
  • Demonstrates autonomy and sound judgment;
  • Strong sense of priorities and ability to multitask effectively;
  • Team player with a collaborative mindset;
  • Able to work under pressure;
  • Proficient in Excel;
  • Knowledge of ASANA, Slack, and Google Workspace is an asset;
  • Driving licence, obligatory.
