Regina Public Library is seeking an administrative professional to assume the out-of-scope position of Executive Assistant in the Office of the Library Director/CEO.The Executive Assistant provides administrative support to the executive leadership team, the CEO, and to the RPL Board of Directors.RESPONSIBILITIES:Working within a team of two Executive Assistants, you will:1. Provide support to the Library Director/CEO and the Executive Team by managing email, calendars, travel arrangements, and expenses. You will also draft correspondence, format documents, conduct research, compile data, create reports, prepare presentations, coordinate meetings, prepare packages, take minutes, and provide technology support.2. Provide support to the RPL Board of Directors by assisting in developing and sharing meeting agendas, packages, and minutes for meetings. You will also arrange bookings, catering, technology and technical support, and take meeting minutes.3. Provide office management and reception by responding to general inquiries/requests from RPL staff, volunteers, and the public. You will also manage financial workflows of the CEO’s Office, office supplies and office printers, records and information, including support of Regina Public Library’s digital workplace.4. Provide organizational support by supporting the development of RPL Policies, Procedures, and Guidelines, coordinating furniture purchases, planning special events, and other responsibilities, as assigned.KNOWLEDGE, SKILLS AND ABILITIES:1. A Bachelor’s Degree (a Certificate in Office Administration is an asset).2. A minimum of five years of progressively responsible administrative experience.3. Excellent judgement and analytical skills.4. Ability to successfully manage multiple priorities.5. Excellent written and oral communication skills.6. Excellent reception and word processing skills.7. Advanced knowledge of office-related a/v and computer software, including Microsoft 365 and video conferencing software.8. Ability to work in a digital environment and adapt to new technologies.9.
