- Own all aspects of outside counsel and vendor management, including matter lifecycle in Legal Tracker, billing guideline enforcement, invoice approvals, monthly accruals, and new firm onboarding
- Serve as primary administrator for Ironclad, managing contract submitter access, NDA workflows, HRBP signer requests, and Okta group management
- Manage AP reconciliation and finance reporting, including monthly forecasts, budget tracking across cost centers, settlement payments, and insurance procurement in partnership with Procurement
- Oversee legal mail routing, ensuring timely and accurate triage across litigation, trust & safety, payroll, and people ops
- Manage and optimize the Legal team's tech stack (Legal Tracker, Mosaic, Ironclad, Navex/EthicsPoint, PLI, Thomson Reuters) and lead evaluation/integration of AI tools
- Maintain and improve knowledge management systems and support onboarding and due diligence initiatives
- Design and implement improvements to legal workflows (intake, billing, contract processes), define and track key metrics, and partner cross-functionally with Finance, Procurement, HR, and IT to drive scalable solutions
- 4+ years of experience in legal operations, paralegal work, or a related legal/business operations role, preferably at a technology company
- Demonstrated hands-on experience with e-billing and matter management platforms (Legal Tracker or equivalent) and contract lifecycle management tools (Ironclad or equivalent)
- Strong financial acumen, including experience with invoice processing, budget tracking, AP reconciliation, and monthly accruals
- Genuine enthusiasm and expertise in AI and legal technology - you actively follow developments in the space, have proven experience with AI tools, and are energized by the opportunity to modernize how a legal team works
- Exceptional organizational skills and attention to detail, with the ability to manage multiple concurrent workstreams, deadlines, and stakeholders with minimal oversight
- Strong communication skills and a service-oriented mindset - you're the person attorneys and cross-functional partners rely on to get things done accurately and efficiently
- Experience improving or scaling legal processes or systems, with demonstrated impact on efficiency, cost, or quality
- For candidates living in Ontario and British Columbia, the expected salary range for the role is currently $102,000 - $132,000.
