- Record and report employee hours, prepare bi-weekly payroll reports
- Assist managers and Payroll department with electronic timekeeping system
- Assist managers with new hire and onboarding process; may include but is not limited to, coordinating/scheduling interviews, requesting Employment Agreements (EA) and following the EA processes, communicating new hire status/expected start dates, facilitate site tours, assisting with basic computer readiness/set-up, perform local plant orientations.
- Assist managers with other employee related documentation, including but not limited to, drafting corrective action documents if requested by managers, drafting & sending employee job abandonment letters, submitting requests to HR Shared Services and BU HR for employee voluntary terminations in a timely manner
- Employee record keeping and file maintenance
- Prepare all necessary forms for accident reporting, which may include but is not limited to, WSIB documentation
- Participate in safety activities such as investigations, safety Gemba Walks, monitor PPE compliance, etc.
- Maintain all Health and Safety records for training, certifications, inspections, and Safety committee meetings, etc
- Follow safe work and good housekeeping practices within the context of current or future legislation and MTI EHS standards
- Assist in ensuring all employees trainings (safety, onboarding, etc.) are up to date and compliant with MTI standards
- Assist in employment engagement activities such as lunches, employee recognition, employee suggestions, etc.
- Coordinate with hiring managers to identify staffing needs
- Maintain the site roster and ensure accuracy
- Determine selection criteria for all staffing needs
- Source potential candidates through online channels (e.g. social platforms and professional networks)
- Plan interview and selection procedures, including screening calls, assessments and in-person interviews, orientations, and on-boarding
- Assess candidate information, including resumes and contact details, using our Applicant Tracking System
- Design/edit job descriptions and interview questions that reflect each position’s requirements
- Organize and attend job fairs and recruitment events
- Forecast hiring needs by department
- Foster long-term relationships with past applicants and potential candidates
- Coordinate Purchase Order/Requisition requests and receipts from the plant. Track status of actual purchases versus allowable budget.
- Receive and reconcile Clay on a daily basis
- Completes necessary production and labour reports
- Assists in the development of new methods, systems and procedures that ensures efficient and effective operation.
- Actively participate in Operational Excellence activities including but not limited to suggestions, kaizens, problem solving, standard work development, 5S, understand/support the auditing process and update visual boards as assigned
- Communicates and coordinates with departments in regards to all administrative issues and liaisons with Global Business Services (GBS) accounts payable/receivable to ensure correct information on PO's and shipping documentation. Communicates all administrative and liaison issues to pertinent management members.
- Handle the logistics of customer, contractor, and guest site visits
- Organize, schedule, support plant meetings and lunches
- Update and maintain production status boards and general bulletin boards throughout facility
- Maintain office supplies through approved vendors; focused on using Kanban and 3rd party contractors as applicable
- Maintain office copiers, including contracts, repairs and replacement
- Coding of invoices and submissions to accounts payable, track and correct items, communicate or discuss any payment concerns with Accounts Payable
- Support the MTI Directed Contractor (temporary worker) activities locally, including but not limited to, reporting of MTI Directed contractor (temp) worker start of assignment and termination of assignments to HR Shared Services, and submitting/tracking temp worker time sheets to the respective vendors.
- Special projects and duties as assigned by Plant Manager.

- Must be capable of working effectively and successfully at a high level with little supervision. Working closely with others while taking ownership of work processes is a key competency.
- Must have thorough knowledge of office practices, procedures and equipment. Must have ability to speak, read, write and understand English. Must be organized and detail oriented.
- Must have the ability to communicate effectively with others both orally and in writing.
- Must have discretion while handling confidential information involving HR communications.
- Thorough knowledge and demonstrated skills with MS Office. Requirement to keep current with computer tools and programs used to fulfill job duties and must be patient with and help others utilize them as needed.
- Must be independent, self-motivated, driven to achieve results/targets, as well as multi-task and prioritize proficiently. Must be persistent when appropriate to accomplish necessary duties. Additionally, is expected to be adaptable / flexible to changing work assignments, have a high level of integrity, dependability and self-control to maintain composure. The ability to plan and organize multiple responsibilities simultaneously and prioritize requirements while managing available resources is a must.
- Must work well with others and act as a team player. Must be willing to use electronic communication techniques. A positive and helpful demeanor is a necessary attribute when working with others internal & external to MTI.
- Must learn and memorize procedures, manage time effectively and efficiently, meet established deadlines, read, understand and follow all company, job specific and safety policies/procedures, and attend/use all required training.
