- Administer the electronic document management platform;
- Manage user access and permissions;
- Apply the document coding and identification system;
- Ensure that document management processes are properly followed;
- Act as a resource person for users of the document management platform;
- Perform document control on hospital equipment deliverables, plans, and specifications, and ensure their distribution to the relevant stakeholders;
- Assist stakeholders in locating and retrieving project documents within the document management system;
- Participate in the improvement of internal electronic document management processes;
- Set up and organize the handover of end-of-project documentation to the client.
- University degree in archival studies, information management, library science, documentation, or a related discipline.
- Minimum of two (2) years of relevant experience in document management and in the use of classification systems and electronic document management systems within construction environments or civil engineering projects.
- Proficiency with document management tools and platforms, including Procore, Extract Pro, and CxAlloy.
- Ability to conduct document monitoring, analyze information needs, and ensure data quality.
- Understanding of version control principles and revision management.
- Ability to create, maintain, and structure registers, matrices, and document inventories.
- Basic knowledge of technical documents, including plans, specifications, and reports.
- Excellent organizational skills, thoroughness, and attention to detail.
- Strong analytical and synthesis abilities.
- Autonomy, proactiveness, and initiative.
- Ability to manage multiple files simultaneously and meet tight deadlines.
- Excellent communication skills and ability to convey information clearly.
- Ability to work collaboratively with various internal and external teams.
