- the creation and preparation of appropriate and required reports to support strategic decision-making, which is critical to the success of this position
- Journal Voucher preparation and submission
- preparing month-end financial account and PCard reconciliation
- ensuring compliance with University policy regarding competitive bids and use discretion to select vendors that can meet the College needs for product specifications and required delivery timelines, as well as ensuring appropriate confidentiality of information in order to maintain College and University compliance with HIPA, PIPEDA, and LAFOIP
- support for other administrative activities of the College, academic and student affairs functions, and/or clinical functions
- providing advice and guidance to students, faculty and staff regarding deadlines and timelines for the ordering of goods and services that are critical to the academic and research programs of the College
- periodic review of research funds to monitor balances, end dates, etc.
- preparation and submission of Banner journal vouchers for various purposes - pay invoices to core facilities, rearrange transactions to maximize use of funds, etc.
- request fund closures with RASI for completed projects
- managing awarded funding - reviewing eligibility of proposed expenses according to approved budget
- advising faculty on new research fund set up timelines, processes between RASI and central financial operations
- early release of funds prior to ethics approval
- advising faculty on where to view research funds in PAWS and how to review their monthly Research Activity report
- advising faculty on who can assist with various purchases (Health Supply Centre, those with PCards, those with permissions for hiring personnel)
- compiling information needed for student stipends or research assistant hire Electronic Job Submissions (offer letters, budgeting available funds including benefit costs)
- ordering and inventory control of supplies related to dental and research equipment, IT equipment, stationery/office supplies, dental clinic supplies, etc.
- maintaining an accurate database of inventory items and current pricing, accounting for stock and expenditures by reconciling purchase requisitions, purchase orders, invoices, receiving slips, and sales records
- coordinating couriers, scheduling and tracking, investigating missing transaction information, and tracking and following up on action items, and the ability to lift and move heavy and bulky objects
- booking meeting rooms, making travel arrangements, ordering and obtaining venues, food, and supplies for College activities and events
- supporting the Sterilizer and Waterline Monitoring Service by providing occasional coverage for test processing, preparing and submitting reports, and working with clients and prospective clients
- providing clerical support for committee meetings
- Other duties as appropriate and assigned
Status: Term 1 year with the possibility of extension or becoming permanent

Salary: The salary range, based on 1.0 FTE, is $53,091.00 - 82,954.00 per annum. The starting salary will be commensurate with education and experience.
