Finance Assistant, College of DentistryPlease note that a strong internal candidate has been identified.Primary Purpose: To provide essential financial and administrative support for the College of Dentistry. This position provides financial support to all functions of the College, with major responsibilities for financial transactions, reconciliations, processing payments, reporting and budget support.Nature of Work: Reporting to the Director of Finance and Administration, and working directly with the Finance Coordinator, this position works closely with a broad range of individuals and groups at all levels of the organization and with external clients and stakeholders. Activities may include assisting with the preparation of financial statements and other internal or external reports; completion of accounting processes such as variance analysis and reconciliations; participating in the review, documentation and enhancement of current business processes and practices; and other projects or duties which may be identified. Day-to-day activities include processing financial transactions, analysis, and ensuring invoices are processed in a timely manner.This position works in a team-oriented, high-traffic, high-volume office setting where multiple competing demands and strict deadlines are the norm. Sound judgement and attention to detail, policies and procedures is important. A high degree of accuracy is required as data, analysis and reporting may have long term and far reaching impacts. The Assistant is required to manage multiple tasks, details, deadlines and priorities in an environment with interruptions and competing demands. The ability to interact effectively with a wide range of people, solve problems and make decisions on a variety of issues are key factors for success in this position.Typical Duties or Accountabilities:
  • the creation and preparation of appropriate and required reports to support strategic decision-making, which is critical to the success of this position
  • Journal Voucher preparation and submission
  • preparing month-end financial account and PCard reconciliation
  • ensuring compliance with University policy regarding competitive bids and use discretion to select vendors that can meet the College needs for product specifications and required delivery timelines, as well as ensuring appropriate confidentiality of information in order to maintain College and University compliance with HIPA, PIPEDA, and LAFOIP
  • support for other administrative activities of the College, academic and student affairs functions, and/or clinical functions
  • providing advice and guidance to students, faculty and staff regarding deadlines and timelines for the ordering of goods and services that are critical to the academic and research programs of the College
  • periodic review of research funds to monitor balances, end dates, etc.
  • preparation and submission of Banner journal vouchers for various purposes - pay invoices to core facilities, rearrange transactions to maximize use of funds, etc.
  • request fund closures with RASI for completed projects
  • managing awarded funding - reviewing eligibility of proposed expenses according to approved budget
  • advising faculty on new research fund set up timelines, processes between RASI and central financial operations
  • early release of funds prior to ethics approval
  • advising faculty on where to view research funds in PAWS and how to review their monthly Research Activity report
  • advising faculty on who can assist with various purchases (Health Supply Centre, those with PCards, those with permissions for hiring personnel)
  • compiling information needed for student stipends or research assistant hire Electronic Job Submissions (offer letters, budgeting available funds including benefit costs)
  • ordering and inventory control of supplies related to dental and research equipment, IT equipment, stationery/office supplies, dental clinic supplies, etc.
  • maintaining an accurate database of inventory items and current pricing, accounting for stock and expenditures by reconciling purchase requisitions, purchase orders, invoices, receiving slips, and sales records
  • coordinating couriers, scheduling and tracking, investigating missing transaction information, and tracking and following up on action items, and the ability to lift and move heavy and bulky objects
  • booking meeting rooms, making travel arrangements, ordering and obtaining venues, food, and supplies for College activities and events
  • supporting the Sterilizer and Waterline Monitoring Service by providing occasional coverage for test processing, preparing and submitting reports, and working with clients and prospective clients
  • providing clerical support for committee meetings
  • Other duties as appropriate and assigned
Education: A bachelor's degree in business is required, and an accounting or finance major would be beneficial. A combination of education and experience may be considered.Experience: At least three to five years of related experience is required; preferably in a complex and diverse fund source organization, such as a health care or post-secondary education environment. Knowledge of accounting procedures and protocols, budget administration and financial forecasting, analysis and reporting. Experience in data analysis and/or interpretation, evaluation methodologies, and developing formal reports and policy. Strong analytic ability including self-directed spreadsheet and data-based analysis, modeling, reporting and superior desktop software skills, particularly Microsoft Excel. Direct knowledge and experience with University of Saskatchewan systems and functions including payroll, budgeting, forecasting, accounting and payment services would be an asset. Experience working and collaborating in diverse and inclusive settings is required.Skills: Demonstrated professional maturity, judgment and decisiveness. Proficient skills in accounting and budgeting, computer applications and programs including spreadsheets, databases and word processing. Ability to take initiative, be self-directed and exercise diplomacy and creativity in solving issues. Ability to make data-driven decisions and demonstrated commitment to quality with a high level of attention to detail. Demonstrated experience in being highly organized with proven ability to manage multiple projects at a time and meet deadlines. Strong evidence of relationship building, ability to work collaboratively, with polished presentation, written and interpersonal communication skills.Department: College of Dentistry
