- Prepare, format, proofread, and organize legal documents including contracts, subcontracts, and NDA's
- Assist with contract administration by tracking approvals, execution, renewals, and amendments
- Manage and maintain lawyers' calendars, including scheduling meetings, deadlines, and appointments
- Coordinate internal and external meetings, ensuring meeting logistics are handled and materials are prepared
- Track key legal, regulatory, and contract-related dates and deadlines, issuing reminders as required
- Maintain and organize legal files, contracts, and departmental records in accordance with retention guidelines
- Ensure all legal documents are properly filed, labeled, and easily accessible in both electronic and physical filing systems
- Assist with opening, closing, and archiving files related to ongoing and completed legal matters
- Support the preparation and assembly of documentation for litigation, arbitration, or regulatory matters as directed
- Monitor deadlines related to filings, permits, licenses, and corporate records
- Assist with maintaining and updating legal department processes, templates, and administrative procedures
- Maintain strict confidentiality of sensitive legal and business information at all times
- Legal Assistant or Law Clerk diploma or certificate from a recognized institution, or equivalent administrative experience in a legal environment
- Minimum of 2 years of experience in a legal assistant or similar legal administrative support role, preferably in a corporate or construction setting
- General familiarity with contracts, corporate documentation, and compliance processes is considered an asset
- Experience in the construction or real estate industry would be considered an asset
- Exposure to construction contracts (e.g., CCDC documents) is an asset, with willingness to learn where needed
- Experience organizing, tracking, and managing legal or contractual documentation
- Strong organizational, administrative, and time management skills
- High attention to detail with the ability to manage multiple tasks and competing priorities
- Proficiency in Microsoft Office Suite and experience working with document management or filing systems
- Strong interpersonal skills and the ability to communicate professionally with stakeholders at all levels of the organization
