- Plan, process, distribute, reconcile, report, file and archive bi-weekly payroll for US and Canada, guaranteeing timely and accurate payments, inclusive of bonuses and benefits.
- Handle special payrolls and year-end adjustment payroll, as required.
- Provide payroll-related variance analysis to management.
- Oversee the ADP system and collaborate with HR for payroll system master file updates.
- Document and refine payroll procedures for clarity and consistency.
- Assist with the management of group benefit plans.
- Execute year-end payroll procedures, including year-end payroll reconciliation, tax slip remittance and year-end reporting.
- Maintain monthly headcount reporting by function and cost center.
- Collaborate with FP&A and HR to ensure accurate budgeting for forecasted open positions.
- Ensure compliance with HR policies and provincial/state requirements.
- Support and participate in various external payroll audits.
- Prepare payroll journal entries and accruals using and maintaining project and allocation keys, for each pay period and month end.
- Reconcile payroll disbursements and bank records, making appropriate general ledger entries.
- Manage the vacation accrual system, validate and prepare vacation accrual journals.
- Reconcile liability accounts for payroll and prepare necessary adjustment journals.
- Prepare and validate yearly deductible training expenses (Quebec).
- Contribute to special projects and continuous process improvement initiatives.
- Post-secondary degree in accounting, or related field or equivalent experience.
- Proficiency with Microsoft Office tools.
- Minimum 5 years of hands-on payroll processing experience for both US and Canada.
- Proficiency with ADP Workforce Now (WFN) and NetSuite.
- Experience with Expense Report Reimbursement processing in a T&E platform.
- Thorough understanding of US/Canadian labor laws and regulations.
- Experience with Multi-State Payroll.
- Strong analytical and problem-solving abilities for identifying and addressing payroll-related issues accurately and efficiently.
- Strong communication and interpersonal skills.
- Exceptional attention to detail and organizational skills.
- Autonomy, efficiency, and ability to handle several files at once.
- Ability to work autonomously, efficiently manage multiple tasks, and thrive under pressure and deadlines.
- Commitment to discretion and maintaining confidentiality.
- Membership in the Canadian Payroll Association preferred.
- Proficiency in French for communication with Quebec government
