- Contact clients by phone for purpose of wait list management, satisfaction or other surveys
- As requested, supports program coordinators in scheduling activities
- Accurate and timely data entry in accordance with the program procedures, including CRMS transactions for staff (ie opening/closing/transfer of clients)
- Client contact and scheduling of various program services and appointments
- Preparation of reports as requested
- Coordination of expenditure documents, in collaboration with leadership and Finance Dept
- Develop & maintain system to track and order supplies ensuring appropriate supplies on hand at all times
- Maintain consultants schedule and prepare consultant packages
- Prepare file packages as required
- Maintain system to book rooms for various office locations
- Support staff as required with administrative questions
- Support with operational building procedures (parking passes, maintenance, alarm systems, etc.)
- Support Director and Assistant Directors with photocopying, scheduling, meeting preparation
- Answer phones, provide general information and direct callers to the appropriate person
- Receive & welcome guests, clients and families to the service
- Ensure organization of appropriate office systems including filing systems and administrative procedures
- General administrative duties as assigned.
- Follows safe work practices as established by the Youth Services Bureau
- College diploma in office administration or relevant degree
- Four years related experience.
- Strong proficiency in Microsoft Word, Excel, Outlook and other software as required
- Excellent verbal and written communication skills and demonstrated diplomacy and tact
- Exercise sound judgment, discretion and a high degree of confidentiality
- Ability to work independently and efficiently on several projects/tasks concurrently
- Demonstrated flexibility, resourcefulness, initiative and creativity
- Oral and written fluency in English and in French are required
- Successful applicants will be required to provide a clear Criminal records check obtained within the past six (6) months, as a condition of employment with YSB.
- To confirm language proficiency required for this position, successful candidates may be requested to undergo an oral and written assessment conducted by a third-party provider, arranged by YSB. Candidates must meet the minimum required linguistic profile before their employment start date. Formal education may be considered as sufficient demonstration of language proficiency, but is subject to review
