Please log in to verify your internal candidate status.Location - This role is hybrid with a mix of remote and in-person work at Enterprise Square.Reporting to the Director, Employee and Labour Relations, the Program Coordinator plays a critical coordination and program support role in advancing the University of Alberta's Employee and Labour Relations strategy.This position enables effective labour relations outcomes by managing team operations, supporting collective bargaining processes, coordinating union and labour management engagement, and delivering data-informed insights. Working closely with the ELR team and community partners across the institution, the position integrates project coordination, research reporting, and strategic support to ensure alignment with institutional priorities, compliance requirements and governance expectations. The incumbent will be seen as an ambassador for Human Resources, Health, Safety, and Environment and be required to demonstrate our values of Trust, Accountability, Relationship Building and Safety.Responsibilities:Project and Program Support
  • Support a range of ELR processes and strategic initiatives through planning, tracking and implementation of departmental initiatives and projects.
  • Monitor timelines, deliverables, and milestones to ensure accountability and progress.
  • Conduct high level ELR research and gather cross jurisdictional information.
  • Prepare background materials and seek input from internal and external partners.
  • Analyze data and respond to requests for information, including development of metrics and reports.
  • Creates and maintains spreadsheets and/or databases to track program files and project initiatives.
  • Gather, prepare, and validate data for regular labour relations updates and reporting to the Board of Governors and Executive Leadership including briefing materials and speaking notes.
  • Assist in the preparation of ad-hoc briefing materials for senior leadership and board-level reporting.
  • Support implementation and coordination of initiatives and projects across the unit.
Operational Coordination
  • Manage calendars, prioritizing confidential and time-sensitive matters for the Director.
  • Support team coordination through development of team agendas and team strategic planning cycles.
  • Maintain oversight of critical documents and multi-party agreement.
  • Administer financial processes, including vendor coordination, invoice review for external partners and purchasing card reconciliation.
  • Coordinate travel and logistical requirements.
  • Maintain systems and trackers to support document control, approvals, and operational efficiency.
  • Creation of process documents to improve process efficiency.
Collective Bargaining and Negotiation Support
  • Coordinate full cycle collective bargaining activities from initial planning to tracking, to coordination of bargaining meetings and final implementation and debrief.
  • Conduct research and analysis on collective agreement language, including historical context and intent.
  • Perform external scanning of comparable agreements to inform bargaining strategy.
  • Synthesize complex information into clear, actionable insights for the bargaining team.
  • Track bargaining timelines, schedules, and deliverables.
  • Engage subject matter experts to validate information and support proposal development.
  • Document discussions and maintain official bargaining records.
  • Development of briefing materials and speaking notes for senior leaders.
Labour Relations and Union Engagement
  • Coordinate labour management and union meetings including agenda development, logistics, and documentation.
  • Prepare executive level speaking notes with minimal support.
  • Track commitments and ensure follow-up on action items.
  • Manage ongoing communications with union partners, including weekly updates.
  • Liaise with internal leadership and executive offices to support aligned messaging.
Governance and Institutional Reporting
  • Coordinate governance timelines and deliverables for board and executive reporting (Board Human Resource and Compensation Committee and Board Audit and Risk Committee).
  • Liaise with the Office of the Vice President University Services Operations and Finance and Provost as required.
  • Draft governance outlines and executive level speaking notes.
  • Analyze labour relations metrics (ex. grievances, disputes, complaints) to identify trends and risks.
  • Support development of institutional reporting (ex. People Report) in collaboration with university partners such as Faculty Relations.
  • Maintain data integrity across reporting, governance materials, and tracking systems.
Qualifications:
  • Diploma or Bachelors Degree in business administration, human resources, or a related field; combinations of education and experience will be considered
  • 2 - 3 years of progressively responsible experience in HR. Experience in a labour relations environment would be an asset.
  • Experience working in the public sector and unionized environment is an asset.
  • The incumbent should have the ability to independently research and seek out information - such as past practices, jurisdictional scans, and internal data gathering.
  • Proficiency in standard computer software and applications such as MS office suite or google.
  • Strong communication (oral and written), interpersonal and analytical skill; accuracy and attention to detail, results orientation, client responsiveness, teamwork and collaboration.
  • Excellent time management skills with the demonstrated ability manage multiple streams of work.
  • Ability to focus on mission critical work, consistently meet due dates in a demanding, fast-paced environment while maintaining superior accuracy.
  • Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with both internal and external clients and stakeholders and all organizational levels.
  • Demonstrated initiative, adaptability and problem solving orientation.
