- Developing first drafts of select submissions and adapting existing submissions for use with other rankings and awards organizations, including editing and coordinating content approvals as required.
- Coordinating research interviews and developing interview preparation materials.
- Researching rankings directories and awards in order to assess those we should continue to support and those to remove from the portfolio.
- Assisting with developing and maintaining standard operating procedures for submissions.
- Assisting in the collection, analysis and entry of rankings and awards results into firm reporting tools and platforms (i.e. Awards Rankings and Testimonials database in Client Connect).
- Processing invoices for payment and maintaining budget tracking records.
- Assisting with communication plans including drafting and proof reading announcements.
- Drafting and circulating firm-wide emails to collect input for nominations and to announce rankings and awards results.
- Preparing and submitting lawyer and firm profiles (i.e. Chambers, Legal 500, etc.).
- Tracking clients/contacts being put forward as referees for rankings and awards in Client Connect, ensuring contact information is complete and current.
- Liaising with lawyers and Clients & Markets team members to gather specific matter details and enter in the firm’s experience database.
- Researching external information related to our matters using tools such as Mergermarket and Capital IQ.
- Drafting and reviewing matter content for the firm website and internal communications.
- Liaising with and submitting matters quarterly and annually to third party reporting agencies and league tables, and monthly to external publications.
- Tracking matter statistics for internal reporting purposes (e.g. Board reports).
- Exporting detailed matter information to support the Proposals team and for Clients & Markets teams responsible for preparing, rankings and awards submissions.
- Working with Accounting and Records Management teams to fill matter information gaps.
- Collaborating with the Communications team and Design team to prepare social media content to promote our matters and wins.
- Supporting Market Recognition-related administration including scheduling and coordinating meetings.
- Additional projects and assignments as required.
- Post-secondary education in-progress or recent graduate in business, marketing, communications, and/or a related field
- Minimum of 1-3 years of relevant business experience, ideally acquired in a large professional services organization.
- Bilingualism (French and English) – An asset but is not required
- Proficiency with MS Office suite; ability to quickly learn and leverage new technology solutions. Experience working with Salesforce and SharePoint an asset.
- Strong interpersonal skills, tact and discretion.
- Excellent oral and written communication skills.
- Excellent organizational skills. Ability to handle multiple tasks simultaneously and set priorities with challenging deadlines.
- Ability to complete designated tasks in a systematic and logical way, with great attention to detail.
- Ability to work in a demanding, fast-paced environment.
