Winnipeg, ManitobaTeamsters Union Local 979 is looking for an Office Administrator to join their team. As part of the administration team, the Office Administrator will be responsible for providing exceptional support to business agents. This role is ideal for a detail-oriented administrative professional, a problem solver, and someone who values building relationships with the members.As the Office Administrator, you will:
- Manage full-cycle accounting using QuickBooks Desktop and Titan, including accounts payable/receivable, payroll, union dues, and remittances.
- Perform monthly bank and credit card reconciliations, prepare deposits, and maintain petty cash.
- File GST, PST, payroll source deductions, corporate tax, and other required remittances.
- Conduct collections of unpaid accounts and liaise with employers regarding dues payable.
- Assist with month-end close and pension balancing.
- Prepare and proofread documents, including collective agreements, correspondence, grievances, and related files.
- Maintain membership records and perform accurate data entry in the database.
- Answer and direct incoming calls, respond to inquiries, and take clear, detailed messages.
- Greet visitors and provide excellent customer service to members, vendors, and suppliers.
- Handle mail distribution, including preparing and sending letters to members and employers.
- Coordinate travel arrangements and assist with meeting, event, and seminar preparations.
- Manage office supplies, promotional materials, and inventory.
- Maintain filing systems (electronic and paper) to ensure records are organized and accessible.
- Update the organization's website as required
- Perform other administrative duties as assigned to support daily operations
- 3-5+ years' experience in full cycle accounting and administration/office management.
- Demonstrated experience in Word, Excel, Outlook, and QuickBooks.
- You have strong interpersonal and customer service skills, including a positive and friendly approach.
- You have strong attention to detail, are organized, take initiative, and adaptability.
- You are a collaborative, logical thinker with a strong ability to manage priorities.
- You have excellent verbal and written communication skills.
