- Proposal Management: Oversee the entire proposal development process from initial client request to final submission, ensuring all deadlines are met and quality standards are maintained.
- RFP/RFQ Analysis: Thoroughly review and analyze RFP and RFQ documents to identify key requirements, evaluation criteria, and submission guidelines.
- Content Development: Collaborate with subject matter experts, technical teams, and management to gather and develop high-quality proposal content that effectively addresses client requirements and showcases our company's strengths.
- Proposal Writing and Editing: Draft, edit, and proofread proposal sections, ensuring clarity, consistency, and adherence to RFP/RFQ guidelines and company standards.
- Team Coordination: Facilitate communication and coordination among various departments involved in the proposal process, including sales, marketing, technical teams, and executive leadership.
- Timeline Management: Develop and maintain proposal schedules, ensuring all team members are aware of their responsibilities and deadlines.
- Quality Control: Implement and maintain quality control processes to ensure all proposals meet or exceed client expectations and company standards.
- Document Management: Organize and maintain proposal-related documents, including templates, boilerplate content, and past proposals for future reference.
- Compliance Assurance: Ensure all proposals comply with relevant industry regulations, client requirements, and company policies.
- Continuous Improvement: Analyze proposal win/loss rates and gather feedback to identify areas for improvement in the proposal development process.
- Bachelor's degree in Business Administration, Marketing, Communications, or a related field
- 2-3 years of experience in proposal coordination, preferably in a similar industry
- Proven track record of successful proposal development and RFP/RFQ responses
- Excellent written and verbal communication skills
- Strong attention to detail and ability to manage multiple projects simultaneously
- Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint
- Experience with proposal management software (e.g., Privia, RFPIO, or similar tools)
- Ability to work effectively in a fast-paced, deadline-driven environment
- Strong organizational and time management skills
- Professional certification such as APMP (Association of Proposal Management Professionals)
- Experience with graphic design software (e.g., Adobe Creative Suite)
- Knowledge of project management methodologies
- Familiarity with CRM systems (e.g., Salesforce)
