Proposal CoordinatorAbout the PositionWe are seeking a skilled and detail-oriented Proposal Coordinator to join our dynamic team. The ideal candidate will have 2-3 years of experience in proposal development, with a strong focus on RFP (Request for Proposal) and RFQ (Request for Quotation) processes. This role is crucial in supporting our organization's growth by crafting compelling and competitive proposals that win new business opportunities.Key Responsibilities
  • Proposal Management: Oversee the entire proposal development process from initial client request to final submission, ensuring all deadlines are met and quality standards are maintained.
  • RFP/RFQ Analysis: Thoroughly review and analyze RFP and RFQ documents to identify key requirements, evaluation criteria, and submission guidelines.
  • Content Development: Collaborate with subject matter experts, technical teams, and management to gather and develop high-quality proposal content that effectively addresses client requirements and showcases our company's strengths.
  • Proposal Writing and Editing: Draft, edit, and proofread proposal sections, ensuring clarity, consistency, and adherence to RFP/RFQ guidelines and company standards.
  • Team Coordination: Facilitate communication and coordination among various departments involved in the proposal process, including sales, marketing, technical teams, and executive leadership.
  • Timeline Management: Develop and maintain proposal schedules, ensuring all team members are aware of their responsibilities and deadlines.
  • Quality Control: Implement and maintain quality control processes to ensure all proposals meet or exceed client expectations and company standards.
  • Document Management: Organize and maintain proposal-related documents, including templates, boilerplate content, and past proposals for future reference.
  • Compliance Assurance: Ensure all proposals comply with relevant industry regulations, client requirements, and company policies.
  • Continuous Improvement: Analyze proposal win/loss rates and gather feedback to identify areas for improvement in the proposal development process.
QualificationsRequired:
  • Bachelor's degree in Business Administration, Marketing, Communications, or a related field
  • 2-3 years of experience in proposal coordination, preferably in a similar industry
  • Proven track record of successful proposal development and RFP/RFQ responses
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint
  • Experience with proposal management software (e.g., Privia, RFPIO, or similar tools)
  • Ability to work effectively in a fast-paced, deadline-driven environment
  • Strong organizational and time management skills
Preferred:
  • Professional certification such as APMP (Association of Proposal Management Professionals)
  • Experience with graphic design software (e.g., Adobe Creative Suite)
  • Knowledge of project management methodologies
  • Familiarity with CRM systems (e.g., Salesforce)
