Login to your McGill Workday account and apply to this posting using the Find Jobs report (type Find Jobs in the search bar).Position Summary:Under the direction of the Associate Director, Recruitment and Communications, the Welcome Centre Supervisor develops programming and oversees the operations of the Welcome Centre, which provides strategic frontline services as an integral part of the department’s planning for recruitment and yield of Quebec, Canadian and international students. Plans and supervises programming and services for the Welcome Centre. Supports both on campus and virtual events hosted by the Recruitment and Communications department. Determines staffing requirements based on cyclical needs of the unit and all ongoing and planned projects. Recruits, trains, and supervises all casual staff hired for the Welcome Centre. Provides accurate and current information on McGill programs and services to prospective students, parents, staff, and the public. Works closely with Service Point to handle a variety of inquiries (i.e., e-mail, phone, and in person visits) as well as other units within Enrolment Services. Represents McGill University during recruiting functions. Uses the current systems and data to plan, schedule, and monitor activities.Primary Responsibilities:
  • Contributes to and participates in the implementation of new initiatives that support the strategic direction of the unit and university enrolment priorities for undergraduate admissions by keeping abreast of best practices, new developments, technology, and trends in the fields of recruitment and enrolment.
  • Develops and manages on-campus and virtual programming that provides prospective students, applicants, and admitted students with opportunities to visit the University and/or engage with Student Ambassadors.
  • Works with the Admissions and Recruitment Events Administrator for the organization of major on-campus events such as Open House, Study at McGill, etc.
  • Plans, evaluates, reports, and makes recommendations on new initiatives or improvements to current programming in alignment with enrolment priorities and in collaboration with the Recruitment and Communications Managers.
  • Develops appropriate measurement criteria to evaluate the effectiveness of Welcome Centre programming.
  • Responsible for the recruitment, onboarding, supervision, workload distribution (including supervising the scheduling of hours and approving weekly time submissions), evaluation, and training of all casual hires for the Welcome Centre who assist in recruitment activities including but not limited to in-person activities (such as campus tours, Meet McGill,) and in support of online activities (such as webinars, drop-in sessions, and social media takeovers).
  • Prepares student staffing estimates and projections to ensure that student and casual staffing needs are met for ongoing and new initiatives. With supervisor, determines necessary budget and casual hires based on needs.
  • Uses the current recruiting software to plan, schedule, and track activities such as campus tours, virtual presentations, drop-in sessions, and 1:1 meeting hosted by Student Ambassadors.
  • Liaises with representatives to ensure the McGill virtual campus tour offers an accurate and positive perception of the University to prospective students.
  • Provides admissions, recruitment, scholarships, and student services information and supports the University's mission of academic excellence.
  • Maintains good rapport with clients and staff within the unit and the University community by identifying needs and ensuring work is performed in accordance with established Enrolment Service goals and objectives and the University's overall mission.
  • Participates and supports biannual recruitment trainings and takes part in professional development activities in order to remain well informed of University practices & programs, and ensures strong delivery of information, and support of our prospective students and their support networks.
  • Participates in the planning of recruitment activities, suggesting improvements to the recruitment process to maximize the number of qualified applicants.
  • Provides high level of customized and confidential customer service to ensure that the Welcome Centre responds to University and customer needs. Follows up with specific questions by referring potential students to the right resources at McGill.
  • Troubleshoots, assesses, and resolves problems requiring specialized skills and technical knowledge.
  • Provides advice to unit members on problem resolution, and when appropriate, informs supervisor.
  • Responsible for the recruitment, onboarding, supervision and workload distribution of the Welcome Centre Assistant.
Other Qualifying Skills and Abilities:Experience advising potential students on admissions criteria. Knowledge of the student life cycle an asset. McGill undergraduate experience an asset. Ability to support staff in their daily administrative operations. Proven experience organizing events or managing tour programs. Experience in the creation of dynamic presentations, an asset. Proven administrative and organizational skills, ability to prioritize, and multi-task accurately with attention to detail. Experience working in a PC environment using databases, presentation software, web tools, and Microsoft Teams. Experience with Slate a definite asset. Excellent interpersonal, communication, presentation, and writing skills. Proven ability to work autonomously and as a member of a team. Ability to work flexible hours, including evenings and weekends. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
