
Donor Care Representative (Seasonal Term)

- Handle, batch and process donations both monetary and non-monetary;
- Check completed batches, final post donations and update tracking controls;
- Issue tax receipts, and doing receipts corrections for donations when required;
- Ensure that information gathered on donor profiles are accurately entered and maintained in our database platform (DonorPerfect);
- Cultivate and build relationships with donors by ensuring they are thanked timely via calls, letters, emails etc.;
- Respond to incoming donor requests and resolve queries within the required time frames;
- Write hand-written cards and notes to donors;
- Reception coverage as required;
- Assist with hosting volunteers, making them feel welcome and organizing their tasks;
- Perform other duties and provide support as assigned;
- Understand the roles and responsibilities and positively influence and support the department and the organization in meeting objectives;
- A college diploma preferably in office administration/office management or a combination of education and experience;
- Previous reception or administrative experience preferred;
- Exceptional telephone etiquette and communication (oral and written) skills;
- Strong computer skills and the ability to maintain accurate documentation and timely reporting;
- Outstanding attention to detail and organizational skills while coping with repetitive tasks;
- Be able to work independently and positively contribute to a team;
- Ability to work in a fast paced, high pressure professional environment;
- Skilled at prioritizing, multitasking and time management;
- Flexibility and adaptability to changing work environments;
- Ability to lift approximately 40 lbs for reception coverage;
- Demonstrated professionalism in the work place;
- Experience working with volunteers in a non-profit setting an asset;
- Frequent daily contact with donors by phone (inbound and outbound), email and in person;
- Some amount of in person interaction with members of the community who use our services;
- Working with development staff on an as-needed basis for special event support;
- Hours of Work: Monday – Friday (8:00 am - 4:30 pm)

- Work is primarily in an office setting – long hours sitting at a desk in front of a computer and using the telephone;
- Reception duties may involve heavy lifting – up to 50 pounds – when receiving donations;
- Provides a safe environment by ensuring adherences to Workplace Safety and Health
- Regulations and Policies, Infection Control Guidelines, WHMIS and Safe Work Procedures. Immediately investigates and recommends corrective action on any unsafe acts, work conditions, incidents, near misses, injuries or illnesses.
- Demonstrates understanding of role and responsibilities in fire prevention and disaster preparedness and participates in safety and health training programs including the facility’s Fire, Disaster and Evacuation Plan.
- Supports an environment which avoids, prevents and corrects all activities or actions which may result in an adverse outcome in the delivery of services. Community Member safety is a standing item for all individual and departmental meetings.
