As our operations structure evolves, reporting lines may be adjusted over time.The Office Services and Facilities Supervisor is responsible for facility maintenance and office services, ensuring the firm meets the needs of our professionals, staff, and clients.Candidates should have strong experience in client service, facility management, records management, administration, vendor relations, procurement, and budgeting.RESPONSIBILITIES
  • Use strong judgement and initiative to ensure the proper maintenance and upkeep of the space while providing updates as required and seeking guidance where necessary;
  • Provide support and leadership to all areas within Office Services and Hospitality teams, including but not limited to assisting with photocopying and document assembly, mail distribution, couriers, reception, records management, maintenance of common areas and preparing boardrooms for client services and events;
  • Work closely with the Office Services and Facilities team to ensure that the facility and client service align with the Gowling WLG brand;
  • Oversee facility equipment maintenance, storage, and space utilization;
  • Work independently with limited direction and guidance;
  • Ensure that health and safety requirements are met;
  • Act as a lead on emergency responses, and health and safety committees;
  • Liaise with vendors ensuring agreements are upheld, obtaining quotes, and coordinating invoice payment with the finance department;
  • Assist in the preparation of capital, maintenance and repair, and other budgets as required;
  • Other duties as assigned.
QUALIFICATIONS
  • Relevant post-secondary experience is an asset;
  • Facility management experience is required;
  • Five to seven years experience in facility management and administration;
  • Experience in a law firm or professional services environment is preferred;
  • Excellent interpersonal, communication, and teamwork skills;
  • Strong computer skills including proficiency with Microsoft Office Suite;
  • Excellent attention to detail;
  • Strong organizational skills, including a proven ability to set priorities and work strategically;
  • Ability to work in a fast-paced environment, moving throughout the firm and transporting materials on an ongoing basis. The ability to lift a maximum of 50 lbs is required;
  • Ability to manage a heavy and varied workload.

The starting range for this role is $60,000.00 to $75,000.00. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance.This position is currently vacant and is open to both internal and external candidates.
