The position entails working with a diverse group of internal and external Stakeholders at all levels of the organization, and the individual will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of support services to the brokerage team and the successful candidate will be a detail oriented self-starter with strong organizational skills and a team player attitude.WHAT WE NEED FROM YOU:
  • Coordinate with Transaction Analyst to assist in the deal cycle process as required: prepare and/or edit offers and letters of intent; track offers in progress and follow through on execution; coordinate flow of documentation and information between company and clients
  • Coordinate with Marketing Associate to support property marketing activities (e.g. coordinating requests via Workfront to JLL Creative and JBS teams; utilizing Canva templates for brochures, signage, social media tiles, etc.; utilize Eloqua to deploy property marketing email campaigns; use social media channels like LinkedIn and update listings on property marketing website(s); coordinate with photographers, virtual tour providers, and other third-party vendors as needed; etc.); lead the coordination of property marketing signage needs for the team (e.g. creative; production; vendor management; tracking; etc.)
  • Coordinate with Research Analyst to create, review, and/or prepare market surveys, tour books, and presentations using JLL Market Surveys and other proprietary or third-party software and to obtain or create demographic materials
  • Prepare, review, and/or edit applicable documents (e.g. legal paperwork; mandates; commission agreements; offers; request for proposal; presentations; pitches; etc.)
  • Lead database and CRM updates and maintenance (e.g. Salesforce, VTS, Eloqua distributions lists, etc.)
  • Prepare and remit expenses in an accurate and timely manner, and in accordance with required approval chains and processes (e.g. monthly Profit & Loss Reports; Marketing Expenses, Broker Expenses; Training Expenses; etc.); coordinate accounts payable with Finance Team
  • Lead the planning and execution of client & broker events (e.g. open houses, client events, business development events, etc.), as required and in collaboration with administrative team, Broker Leads, and/or Senior Manager
  • Manage new-deal and post-deal checklists, expiry reminders, and planning and execution of client gift program including thank you, milestone, and holiday gifting, etc.
  • Actively participate in team workflow management to ensure collaboration and connectivity within the business line and with other business lines regionally and nationally (e.g. keen engagement in local team meetings and calls, business line meetings and calls, regional or national meetings and calls and Marketing and Brokerage Support Team meetings, calls, and trainings; maintaining connection with Brokerage Coordinator peers across business lines and geography; etc.)
  • Partner with Senior Manager, Design Team, Brokerage Coordinators, Marketing Coordinators, and peers across the country to support best-in-class property marketing plans​
WHAT YOU BRING
  • Bachelor’s Degree preferred, but not required
  • 3+ years of relevant office experience or a combination of education and experience
  • Experience in the real estate sector and/or lease administration preferred
  • Advanced Microsoft Office (Word, Excel, PowerPoint & Outlook) is required
  • Demonstrated capacity to manage multiple priorities in a fast-paced environment
  • Excellent writing ability including strong proofreading and editing capabilities; maintain strong attention to detail at every level
  • Must be able to maintain confidentiality, utilize judgment, and work with minimal supervision
  • Experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop) is an asset; experience with Canva is an asset
  • Experience with email campaign execution is an asset (especially experience with email automation software, e.g. Eloqua, Mailchimp)
  • Project management experience is an asset (especially experience with project management software, e.g. Workfront)
