- Provide dedicated administrative and consulting support to senior staff.
- Independently manage executive calendars/schedules and client contact/interaction.
- Manage travel arrangements for senior staff and clients in coordination with the Corporate Travel Planner.
- Prepare and process expense reports for senior staff.
- Assist with new case set-ups (including inputting case leads and conversion forms).
- Work with administrative teams and marketing to update practice area–related documents.
- Provide client contact management support for senior staff.
- Manage client year-end gifts.
- Update and edit senior staff CVs, ensuring timely submission to Marketing.
- In collaboration with consulting staff and Human Resources, coordinate, schedule, and follow up on recruiting candidates.
- Event support: assist with coordination, scheduling, and logistics for office events, client meetings, and case team dinners (on-site and off-site).
- Office health & safety: support local compliance, policies, and emergency procedures.
- Office cleanliness/maintenance: monitor and ensure orderly, well-maintained office spaces.
- Ordering and managing food & beverages for office needs.
- Ordering and managing regular catered lunches for staff.
- Provide general administrative support for day-to-day office operations, including coordination of staff review schedules and firmwide projects as appropriate.
- Set up and manage audiovisual equipment as needed.
- Provide reception coverage (telephone and front desk support), greeting staff, guests, and clients in a professional manner.
- Maintain neat and orderly reception and meeting spaces.
- A minimum of 3 years of substantive relevant experience is required.
- An ideal candidate will have 5-10 years Administrative Assistant experience, preferably in a professional business environment.
- Bachelor’s degree preferred.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to interact with executive and senior-level staff.
- Highly motivated, self-starter who takes initiative with minimal supervision.
- Strong organizational skills with the ability to prioritize and delegate tasks as needed.
- Experience in office and event coordination.
- Experience in the hospitality industry is a bonus.
