Together, we work towards supporting optimal health outcomes and better quality of life.Come Join Our Team!Purpose:The Biomed Customer Service Representative reports to the Supervisor, Customer Service, in the Customer Service department located at Royal Drugs Mississauga, 2785 Skymark Ave. The Biomed Customer Service Representative is responsible for the coordination of equipment and waste pickups from patients and clients, equipment inventory control, and equipment maintenance. The Biomed Customer Service Representative must meet the equipment distribution and waste pickup requirements, while working within established inventory and distribution protocols to ensure that patients receive the highest quality of service in either official language. The incumbent must possess thorough knowledge of Royal Drugs products, delivery schedules, client requirements and/or special needs. This will enable the Biomed Customer Service Representative to evaluate priorities, solve problems, perform required tracking analysis, and react quickly to emergency situations. - Supporting policies, procedures, work instructions, and relevant software.
- Maintain knowledge of all company policies and procedures with high emphasis placed on ethical conduct and strict confidentiality of client information.
- Adheres to organizational and individual health and safety responsibilities in the workplace.
- Ability to be sensitive to patient circumstances, investigative skills to resolve distribution oddities, and the ability to provide clear communication/service in both official languages
- Process and scheduling of both waste and equipment pickups, ensuring accuracy and completeness of required information to facilitate the order.
- Maintain change of billing on rental contracts
- Assist pharmacy with the pump exchange process
- Maintain negative pressure pump rental information in the Solventum Portal
- Creation and maintenance of daily reports related to pending equipment pickups and available equipment, providing necessary information to Ontario Health at Home regarding owned units.
- Reconcile old or ongoing 'missing equipment' report.
- Work collaboratively, and in frequent communication with customers, including Ontario Health at Home.
- Work collaboratively with the Pharmacy team, advising of end rentals or notifications of hospital stays.
- Work with pharmacy personnel to establish minimum equipment inventory levels and establish the proper protocols to alert Pharmacy and management when the inventory level is insufficient.
- Coordination and tracking/analysis of successful/re-attempt/unsuccessful pickups, and generation of reports to analyze distribution performance utilizing MS Excel and or other report generating software.
- Scheduling of equipment maintenance in conjunction with the Equipment Department. Ensure annual maintenance of pumps while maintaining a back-up supply for client needs.
- Work collaboratively with Dispatch to coordinate pick up reattempts.
- Other duties as assigned my ManagementQualifications:- Minimum High School diploma
- Minimum 2 years customer Service experience in related health care environment
- Knowledge of logistics and inventory/distribution processes
- College diploma in a logistical discipline (Asset)
- Bilingual in French/English (Asset)SKILLS:
- Excellent communication skills (written and verbal), with the ability to handle sensitive information and circumstances.
- Self-motivated and able to work with minimal supervision
- Strong attention to detail with the ability to multi-task and handle fluctuating workloads
- Excellent organizational, problem-solving, and time-management skills
- Proven ability to adhere to standards & procedures and maintain confidentiality
- Excellent customer service skills and the ability to collaborate with all levels both inside and outside the organization
