Job Description:Client Services Operations AssociateAre you a detail-oriented operations professional with a passion for client service and continuous improvement? We are seeking a Client Services Operations Associate to join an established asset management team in downtown Toronto. This is a contract role starting immediately, with an initial contract of 3 months with potential to extend until the end of year. Located in downtown Toronto, the client is looking for someone to work in the office 4 days per week and 1 day remote (full time hours). In this Client Services Operations Associate role, you will play a pivotal role in ensuring the seamless execution of daily operational workflows, including trade settlement, client onboarding, and data management. This opportunity is ideal for someone who thrives in a fast-paced environment, embraces innovation, and is eager to leverage technology and automation to enhance operational efficiency.Key Responsibilities:
  • Perform daily cash and position reconciliations, investigate and resolve discrepancies
  • Ensure timely settlement of cash movements and trade transactions
  • Support fund subscriptions/redemptions and NAV verification
  • Manage corporate action events and FX/hedging operations
  • Lead end-to-end client onboarding (documentation, KYC/AML, account opening, asset transfers)
  • Process registered and non-registered account applications with accuracy and compliance
  • Address operational inquiries from clients and advisors with professionalism
  • Manage account updates, conversions, fee schedules, and communicate with tax/legal/compliance teams on complex accounts
  • Collect, prepare, and validate data for internal/external reports
  • Maintain data integrity across operational platforms and CRM systems
  • Support due diligence and reconciliation efforts to ensure accuracy
  • Identify and improve operational inefficiencies and bottlenecks
  • Apply or learn to use automation and AI tools for workflow enhancements
  • Document and standardize procedures; champion technology-driven process improvements
  • Collaborate with cross-functional teams on automation projects and compliance
  • Support projects such as platform migrations, new fund launches, and regulatory initiatives
  • Participate in cross-functional groups to boost operational efficiency and client service excellence
Requirements:
  • 3-5+ years of experience in investment operations, fund administration, or client service within asset or wealth management
  • Solid understanding of trade lifecycle, reconciliation, settlements, and subscription/redemption processes
  • Familiarity with Canadian registered/non-registered account types and regulatory compliance (CIRO, FINTRAC)
  • Bachelor's degree in Business, Finance, Accounting, or a related discipline; CSC or similar credentials are an asset
  • Advanced skills in Excel (pivot tables, vlookups, macros) and proficiency with back-office/CRM systems (e.g., Salesforce)
  • Experience with (or strong interest in learning) automation tools (e.g., ChatGPT, Power Automate, Zapier) for process improvement
  • Strong analytical, communication, and organizational skills
  • Detail-oriented, self-motivated, and collaborative with a commitment to high-quality work
