- Plans and delivers simple and complex office relocation, furniture reconfiguration/installation, and furniture decommissioning projects for our client.
- Develops an implementation strategy and workstream schedule for each project, taking into consideration the client's requirements and BGIS deliverables.
- Ensures that delivery is undertaken optimally and within BGIS/ Client procedural boundaries: provides direct support to the team with respect to delivery and administrative issues and challenges.
- Is responsible for managing the project schedule and budget. Monitors changes and progress throughout the life of projects related to relocation, install, and decommissioning services.
- Ensures service delivery is done in accordance with all documented processes, work instructions and policies to ensure consistency, repeatability and alignment with BGIS / Client needs respect to key delivery sub-processes, such as document management, change management, scope management, schedule management, cost management, quality management, team management, communications management, risk management, procurement, approvals, close-out.
- Identifies opportunities for continuous improvement and manages changes required to continuously meet client objectives and program evolution.
- Follows BGIS procurement policies and consults the client MSA for best practice. Seeks guidance from BGIS procurement and client contract authority as required. Prepares procurement documentation such as RFP/RFQ as required. Works cross-functionally with other internal team members, service lines, project groups and operation groups to plan, manage and deliver projects.
- Evaluates, plans, and manages all Health & Safety risks and requirements, working with the BGIS Health & Safety team and other internal groups as required.
- Ensures all projects are delivered on time, within scope, budget and requirements and complies with all regulatory, environmental, health and safety requirements.
- Provides on-site supervision and acts as a client liaison.
- Develops strong internal relationships with other team members, service lines, project groups and operation groups to plan, manage and deliver projects.
- Resolves issues, manages client expectations, and ensures client satisfaction.
- Maintains an effective positive working relationship with all client contact, stakeholders, and internal teams on each project to maintain client objectives - One BGIS.
- Effectively and pro-actively communicates with all levels of stakeholders, such as Clients, contractors, and industry bodies (as required) to ensure Client satisfaction and BGIS's success.
- Develops and maintains effective and strategic relationships with all third-party contractors.
- Ensures that project deliverables are completed on time and reviews for quality and completeness.
- Completes project status reporting and monthly financial reporting activities for all assigned projects.
- Communicates changes and updates to implementation approaches and processes as required.
- Provides updates to the Program Manager on project impacts and opportunities.
- Participates in or leads project kick off meetings, both internal and external as required.
- Communicates with all project stakeholders regularly and chairs workstream status meetings.
- Prepares and updates move communications and strategies as required by each project and client requirements.
- Is comfortable presenting to teams of all sizes both internal and external as required.
- Maintains effective filing structure and ensures all documentation for each project is correctly filed and audit ready.
- Responsible for ensuring adherence with all financial and procurement policies and procedures for BGIS projects.
- Monitoring contractor Purchase Order's (PO's) and ensuring that they align with the approved budget and quote.
- Works collaboratively with the Program Director, Program Manager and other internal stakeholders to develop, maintain and improve upon the Relocation service delivery line.
- Contributes to the development and maintenance of processes, tools, and documentation for Relocation such as developing playbooks for relocation, furniture installation, etc.
- Ensures a positive client and occupant experience on all BGIS projects to drive repeat business and differentiate BGIS as the logical choice for service delivery.
- Assists with business development opportunities such as scope definition, fee and proposal development as required.
- College or post-secondary graduation or professional certification required.
- Excellent communication skills.
- Minimum of 7+ years of job-related experience in relocation, furniture installation, decommissioning, and facility planning projects and or construction fit up projects of medium to high complexity.
- Knowledge of project management, move management, and construction scheduling requirements.
- Effective leadership and relationship management skills. (Experience in customer service and client-facing activities.)
- Strong interpersonal and customer service/management skills.
- 3+ years of furniture systems knowledge.
- 1 to 3 years of managing a team. (Experience in managing remote teams is a bonus.)
- Advanced project coordination and organizational skills. (Experience in complex project scheduling and using software such as Microsoft Project.)
- Strong analytical, problem solving, and conflict management skills.
- Ability for critical thinking and making quick decisions in the best interest of the client and BGIS.
- Advanced ability to deliver non-technical projects such as relocation projects according to requirements, on time and within budget.
- Ability to travel to client sites nationally or locally, as required.
- Business development skills including solution development, proposal writing, and pricing of services.
- Ability to work overtime, nights, and weekends as required.
- Able to meet requirements for Federal and Provincial Security Clearance.
- PMP or FMP a bonus.
- Valid driver's license and access to a vehicle
