- Schedule and dispatch technicians for service calls or maintenance tasks based on their availability, skills, and location
- Maintain a real-time calendar of technician assignments to prevent overlaps and delays
- Collect detailed information from customers about their service needs and relay it to technicians
- Create, update, and close work orders within dispatching software, ensuring accuracy for billing and inventory tracking
- Monitor technicians during their service appointments and adjust schedules dynamically to address changes or emergencies
- Communicate with technicians, management, and customers to ensure a seamless flow of information
- Resolve logistical challenges, such as last-minute scheduling changes or resource conflicts, to minimize disruptions
- Coordinate inventory needs by ensuring technicians have necessary parts or supplies before dispatch
- Utilize dispatch software to optimize schedules and generate reports on service efficiency for managerial review
- Support billing processes by ensuring completed work orders are properly documented and addressing billing-related inquiries
- Experience in a HVAC organization is a strong asset
- Minimum of 3 years of experience in a dispatch role
- Strong knowledge of Microsoft Excel and other scheduling or dispatching software
- Ability to multitask and manage time effectively in a fast-paced environment
- Problem-solving skills to address scheduling conflicts and logistical challenges
- Familiarity with safety standards and regulations in service operations
- Detail-oriented with a focus on accuracy in documentation and reporting
