- Manage complex calendars, scheduling meetings, appointments, and travel arrangements for executive leaders.
- Coordinate and facilitate meetings by preparing agendas, taking minutes, and tracking action items.
- Prepare and edit professional documents, including correspondence, reports, presentations, and memos.
- Compile and submit monthly expense reports.
- Coordinate travel logistics and provide related administrative support.
- Act as a liaison between internal teams and external stakeholders to ensure timely and accurate communication.
- Conduct research, analyze information, and prepare summaries, reports, and materials to support decision-making.
- Maintain organized electronic and physical filing systems, ensuring records are accurate, accessible, and up to date.
- Handle sensitive and confidential information with a high level of discretion.
- Support the execution of projects and initiatives as assigned by executives.
- Assist with planning and coordination of events and special initiatives.
- Communicate with various offices to ensure that information and events are relayed between all facilities
- Support other departments with administrative tasks as necessary to ensure project and operational success.
- High school diploma or equivalent required; additional administrative certification or education considered a strong asset.
- Minimum of 5 years of experience as an Administrative Assistant, supporting senior and executive leaders.
- Exceptional organizational skills and the ability to manage multiple tasks in a fast-paced environment.
- Strong proficiency in building and maintaining SharePoint libraries.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to anticipate needs and manage competing demands with high attention to detail
- Strong communication skills, both verbally and in writing, providing professional correspondence
- Professional demeanor and ability to maintain confidentiality.
