- Assist in the preparation, submission, and tracking of export/import permit applications using systems such as NEXCOL.
- Maintain accurate records of all active, expired, and pending permits/licences, and support renewal alert systems.
- Ensure all documentation related to controlled transfers (e.g., End Use declarations, shipment records, licence approvals) is complete, accurate, and properly filed.
- Support the intake and close-out processes for export/import control documentation.
- Accurately input and update export control data of legacy and active export permit and licence and import licences in the Candu Export Control Master Control Log and Tracking Tool, ensuring all records are current and correct.
- Consult with internal departments (Engineering, Project Management, Procurement, QA) to gather required information for permit applications and ensure compliance with regulatory requirements.
- Assist in responding to internal inquiries related to export/import control procedures and documentation.
- Support the generation of internal and external reports related to export/import activities.
- Help maintain internal document repositories, FAQs, and precedent libraries to support the Export Control Function.
- Contribute to internal awareness initiatives by helping prepare educational materials and communications related to export/import control policies and procedures.
- Administrative Support: Provide general administrative support to the Export-Import Control Manager, including scheduling, document preparation, and communication.
- Completion of a post-secondary degree or diploma in business, logistics or a related field.
- 2+ years in an administrative or coordination role, ideally within a regulated or compliance-focused environment.
- Demonstrable experience and knowledge working with Canadian export controls and CNSC licencing processes for nuclear controlled goods and technology.
- Familiarity with export/import control processes, NEXCOL system, or experience supporting regulatory documentation is an asset.
- Basic understanding of Canadian export/import control regulations (GAC, CNSC) or willingness to learn.
- Comfortable using document management systems, permit submission platforms (e.g., NEXCOL), and Microsoft Office Suite.
- Ability to identify discrepancies or missing information and take initiative to resolve or escalate.
- Strong organizational skills and attention to detail in managing documentation and deadlines.
- Ability to handle sensitive regulatory information with confidentiality and professionalism.
- Clear and professional written and verbal communication for internal coordination and external correspondence.
- This position requires the ability to obtain Reliability Status security clearance from the Government of Canada.
