- Accurately process mutual fund and life insurance transactions, registrations, new business, and data entry with strict confidentiality.
- Maintain organized, compliant client documentation (KYC, forms, agreements) and keep the CRM current and audit-ready.
- Prepare meeting materials, complete post-meeting follow-up, and coordinate schedules to create a seamless client experience.
- Generate and distribute reports to support portfolio reviews, client updates, and planning discussions.
- Ensure all activities meet legislative, regulatory, and compliance requirements.
- Serve as a responsive first point of contact; triage inquiries and own follow-through to resolution.
- Understand client profiles and corresponding investment/insurance strategies to support informed service.
- Coordinate and participate in client meetings and events; set agendas, prepare documentation, and manage follow-ups.
- Help build and execute client service plans, segmentation models, and business plans.
- Co-manage the client acquisition pipeline (prospects/leads), support proposal creation, and assist in closing new opportunities.
- Identify opportunities for asset consolidation, referrals, and additional services within the existing client base.
- Support conventional and digital marketing initiatives (content routing, approvals, implementation).
- Assist advisors with research, data gathering, and drafting of planning inputs and recommendations.
- Prepare, analyze, and present reports and summaries to support reviews and strategic conversations.
- Proactively recommend and implement process improvements to streamline workflows and elevate the client experience.
- Accurately document all client interactions to maintain a clear service record.
- Experience in financial services administration (wealth/insurance/accounting/related).
- Licensing (assets): Mutual Fund Representative (CIRO/MFDA equivalent), CSC/CPH, and LLQP (or willingness to obtain).
- Post-secondary education in Business, Commerce, Finance, or a related discipline.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint/SharePoint an asset) and comfort with CRM systems.
- Excellent written and verbal communication, strong attention to detail, and sound judgment in handling confidential information.
- Highly organized with the ability to manage multiple priorities in a fast-paced setting; tech-savvy and quick to learn new tools.
