- Under minimal supervision, you will support management team in their day-to-day administrative duties
- Provide administrative support to Heavy Maintenance activities such as entering data required for management analysis, dealing with management HR to bring employees / contractors onboard, etc.
- Reserve classrooms, book training (RDDC), arrange restricted area pass etc. as required.
- Track GEMBA initiatives and progress on individual tasks.
- Update office staff attendance/schedule daily, including sick days, vacation, etc. be the single POC for office staff call-ins, and call directing.
- Escort contractors entering and exiting the base who do not have proper security clearance.
- Reserve conference rooms for meeting (internal & external)
- Ordering for and maintaining office supply locker, coffee pods, etc.;
- Manage applications for security passes and liaising with L3 security team for timelines of security clearance timelines.
- Responsible for payment and record keeping for all invoices and payment of goods and services;
- Request and track RPOPs work requests (infrastructure issues)
- Take care of vehicle upkeep i.e., May’s Motors, Service Ontario, insurance slips etc.
- Liaise with procurement for purchases, contractor requirements, aircraft on ground administration, etc.
- Backfill for other admin positions during absences such as tasking and pay.
- Book hearing tests
- Issue Boot vouchers
- Fire warden, Health & Safety Rep, first aid kit inspection and replenish
- Administrative support to the office team, which include but are not limited to creating presentations in PowerPoint, update and create Excel spreadsheets, compile reports, take meeting minutes, conduct financial analysis, prepare for arrival of new employees and update information dashboards as necessary.
- Administrative support to operations management team, updating procedures (TOP, AMP, etc.) tracking read and sign ensuring all AMEs / OSS have completed by a specific date.
- Liaise with Mirabel team for visits, finding correct SVOs for trips, booking hotels and transportation when required, arranging office space.
- Answer AMEs questions on pay and expenses with references of the reply.
- High School Diploma or equivalent and a minimum of 5 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience
- Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint);
- Knowledge of SAP or any other ERP (Enterprise Resources Planning) system, an asset;
- Knowledge of military operations, policies and procedures considered an asset.
- Must be eligible for registration with the Controlled Goods Program;
- Must be eligible to obtain and maintain a government of Canada Reliability status and Secret Level 2 / NATO Secret security clearance.
- Must be eligible to meet the requirements for U.S. International Traffic in Arms Regulations (ITAR).
