Onboarding & Offboarding Associate

- Act as the central contact to support a warm, inclusive onboarding experience for new hires as well as to guide smooth transitions for staff offboarding.
- Support onboarding for internal or external staff, from the initial job offer acceptance, sharing welcome packages and enrollment materials, completing key onboarding activities and education, answering new hire inquiries to completion of the new employee onboarding process.
- Provide guidance and advice to Managers and Directors regarding recruitment, onboarding and offboarding services, requirements, collective agreement language, labour relations interpretation, and organizational hiring, onboarding and offboarding practices.
- Create and utilize onboarding and offboarding checklists to guide staff through necessary actions and processes, and solicit feedback from employees who are joining or exiting the organization.
- Create, prepare and process various documents such as emails, correspondence, materials, and toolkits for successful onboarding and offboarding.
- Liaise with other staff and leaders in Recruitment, Labour Relations, Compensation and Classification, other People departments, and Operations regarding issues of a non-routine nature, and respond to inquiries from managers, employees regarding the status of posted positions, employment opportunities, application procedures, salary and timekeeping issues and reference requests.
- Communicate with other organizations and agencies when conducting reference checks, verifying professional credentials and conducting criminal record checks.
- Completion of a recognized diploma or degree in Human Resources Management or related field, supplemented by two (2) years’ recent, related experience in a large and complex organization, or a combination of education, training and experience.
- Skilled computer literacy with word processing, spreadsheet, graphics and database programs, e.g. MS Word, PowerPoint, Excel, Access and Visio is required.
- Knowledge of human resources practices and relevant collective agreements.
- Demonstrated ability to communicate effectively both verbally and in writing. Ability to relay technical information in a manner that can be understood by various audiences.
- Demonstrated customer service orientation and approach to communicating and supporting staff.
- Exhibits thoroughness when maintaining, monitoring, calculating and summarizing data, records and other information.
- Applies excellent time management skills to plan, prioritize and complete assignments and schedule activities in a manner that optimizes departmental effectiveness and maintains customer relations.
- Proficiency in the use of computers and relevant software applications including online recruitment/human resource systems, and current office software.
- Demonstrated ability to deal with staff and public effectively.
- Demonstrated ability to work independently and as a member of a team.
- Physical ability to perform the duties of the position.
