This full-time Office & Facilities Coordinator role is your opportunity to shape the day-to-day experience of our Kelowna office. You'll be the heartbeat of local operations - creating a welcoming environment, coordinating facilities activities, and helping our teams deliver impactful work across the region.
Your work will directly support our professionals as they deliver projects that strengthen communities, advance sustainable solutions, and positively influence growth across Western Canada.Your ImpactIn this role, you will:
- Welcome internal and external clients, responding to in-person and phone inquiries with professionalism and care.
- Coordinate all aspects of building and facility maintenance with direction from the Facility team, proactively resolving issues to minimize disruptions.
- Procure services and supplies following established protocols, applying fiscal responsibility and accuracy in generating purchase orders.
- Support daily facility operations, including security, phone services, shipping/receiving and general office administration.
- Consult with the Office Lead on routine and non-routine office or building matters, ensuring timely communication and smooth operations.
- Provide logistical support for meetings, workshops, catering, room bookings and setup/take-down.
- Complete regular administrative tasks such as travel arrangements, file management, documentation, JHSC meeting minutes, and errand coordination.
- Orient new staff to office culture, procedures, and tools while supporting onboarding activities for local and regional teams.
- Oversee consumables, equipment inventory, and calibration tracking in collaboration with the Logistics & Equipment team, including booking and rental administration.
- Coordinate vehicle maintenance, inspections, repairs and associated records in partnership with the Fleet team.
- Serve as a trusted resource to colleagues, supporting inquiries and problem-solving across the Kelowna office.
- Maintain a tidy, safe, and welcoming workspace, following all Health, Safety, Security, and Environmental protocols.
- Support broader BC regional operations with administrative tasks, notice board updates, activity coordination, and relief coverage for administrative teammates.
- You hold a certificate or diploma from an accredited program or college, with 1-2 years of experience in a professional services environment.
- You excel at prioritizing fast-moving tasks and delivering timely, high-quality outcomes.
- You build strong internal and external relationships, navigating office-based challenges with professionalism and discretion.
- You are detail-oriented and take pride in consistent, accurate, organized work.
- You bring solid experience with Microsoft Word, Excel, SharePoint and Adobe tools.
- You thrive as a collaborative team member while confidently working independently when needed.
- You apply sound judgment to daily decisions, always keeping the best interests of the office and WSP in mind.
- You demonstrate patience, courtesy, and a service-oriented approach.
- You possess a valid driver's license

MB & ON: $47,200 - $65,000
NB, NL, NS, PEI & QC: $46,800 - $62,100Disclosure:
