This role serves as the front desk and first point of contact for employees, guests, and vendors, helping deliver a smooth and positive office experience through strong coordination, attention to detail, and collaboration.Key ResponsibilitiesFront Desk & Workplace Support
Greet employees, guests, and vendors and serve as the first point of contact.
Issue visitor and parking passes while following security protocols.
Manage security badges and ensure visitors complete required NDAs.
Maintain a clean, organized, and professional office environment, including meeting rooms and common areas.
Vendor & Facilities Coordination
Act as the main contact for building management and service vendors.
Coordinate office repairs, maintenance, and service requests.
Office Operations & Supplies
Order and manage office, kitchen, and workplace supplies.
Coordinate office food programs, including snacks, beverages, coffee, dairy, fruit, and bagels, while tracking budgets.
Schedule and support meetings, including room setup and catering when needed.
Shipping, Procurement & Administrative Support
Manage shipping and receiving, including customs documentation when required.
Update and resolve workplace support requests in JIRA.
Process iProcurement invoices and receiving, partnering with Accounts Payable and vendors to ensure timely payment.
Submit and track expense reports related to office operations.
Maintain team documentation and runbooks.
Workplace Experience & Projects
Support workplace events and initiatives for onsite and remote employees.
Assist with operational projects and workplace improvement initiatives.
Identify opportunities to enhance the office and front desk experience.
This is a Full Time Contract opportunity - 1 YearThe ideal candidate will have: Required Skills & Qualifications:
2+ years of experience in a similar role, ideally within a fast-paced or corporate environment.
Experience supporting financial processes, such as invoicing, expense reporting, purchase orders, or working with Accounts Payable.
An approachable and positive attitude, with the ability to work effectively in a fast-paced environment.
Highly organized, with the ability to manage multiple tasks and priorities at the same time.
Strong communication skills, clearly conveying ideas both verbally and in writing, while actively listening and asking questions for clarification.
Excellent attention to detail, with the ability to anticipate needs and plan ahead for potential operational challenges.
Ability to work independently and meet deadlines, while remaining flexible and able to reprioritize as needs change.
Familiarity with Microsoft 365 applications (Outlook Calendar, Excel, PowerPoint) and Slack.
Passion for creating a positive workplace experience and contributing to initiatives that have a company-wide impact.
