- Develop, maintain, and improve processes to optimize office operations.
- Research, manage, and maintain vendor relationships to support office efficiency.
- Oversee and manage Pomerleau's internal seating allocation system.
- Lead office initiatives and coordinate the office engagement calendar.
- Maintain department organizational charts, intern lists, and related records.
- Complete ad-hoc tasks as assigned by the hiring manager.
- Provide day-to-day administrative support to the operations and estimating teams.
- Assist with key project startup documentation and prepare draft correspondence.
- Support the estimating team with administrative tasks, including job closing activities.
- Use CMiC and Salesforce to generate and update opportunities, accounts, and reports.
- Create corporate user accounts and manage subcontractor information in the database.
- Sort, catalogue, and distribute trade partner submissions for tenders.
- Maintain organized storage of confidential project documentation and ensure timely access for project teams.
- Support administrative staff with project follow-up tasks as required.
- 5+ years of administrative experience, ideally within the construction industry.
- Strong interpersonal skills with the ability to work effectively in a dynamic team.
- Highly organized, efficient, and able to work independently with minimal supervision.
- Proactive in identifying opportunities for process improvement.
- Proficient in MS Office, especially Word and Excel.
- Excellent time management and attention to detail.
- Strong written and verbal communication skills.
- Professional, approachable, and able to handle confidential information appropriately.
- Comfortable working in a fast-paced, deadline-driven environment.
